We actively strive to channel our highly engaged employee’s knowledge, critical thinking, innovative solutions for our clients. **Responsibilities** + Provide customer service to internal and external partners/customers to assist with the coordination and management of the EWB fellowship and programs. + Maintain branch personnel, procurement, and travel, request and other files and records. + Process all stipend and insurance payment paperwork for all international EIS officers. + Serve as branch POC for all staff, fellows, and visitors directing them to the appropriate personnel and resources within the division. + Perform in/out-processing of staff, contractors, and fellows. + Provide group and individual instruction to new incumbents. + Manage and respond to complex inquiries from potential officer applicants. + Serves as Timekeeper for the branch. + Serves as an alternate property custodian for the branch. + Coordinate and respond to special projects and requests for reports. + Assist with coordinating electronic and physical files for applicants, ensuring that all required documents are received and distributed for review. + Arrange interview appointments and distribute recruiting materials to applicants selected for in- person interviews. Administrative assistant will help reserve rooms and direct interviewers and applicants throughout the day. + Develop and implement training materials for incoming officers. + Provide instruction to new incumbents related to incoming personnel system, administrative processes and requirements, relocation, and position selection requirements. + Provide assistance to lead staff members conducting recruitment of new incumbents including responding to inquiries from the public. + Coordinate and distribute application materials. + Respond to complex inquiries from potential applicants and determines what information is required. + Triage inquiries that require contact with other staff members. + Consistently provide responsive service to internal/external customers that support customer and program requirements. + Process personnel travel and administrative requests orders that have been entered into the ARS CSELS ASK system according to standard operating procedures timeframes and as requested by programs with less than a 5% error rate. This element will be measured by no more than two (2) valid complaints received by the Agency Project Officer in a month + The Contractor shall initiate and manage the coordination of the security process, visitor passes, and CDC facility and computer access, visa clearances, and personnel paperwork for new and continuing fellows. + Answer the telephone, word-processing, filing, copying, and collating data entry, and room scheduling. + Provide backup support for all incoming division calls to include taking calls for the director of the program office. + Maintain mailing and telephone lists for correspondence and information, including updating of the database. + Serve as branch point of contact (POC) between DWD and the Business Management Activity (BMA) for all personnel, procurement, property, travel, training, fare share receipts, and miscellaneous building/facility/maintenance requests. + Order and maintain supplies and equipment, including needed supplies for annual EIS conference and orientation events at EIS summer course. + Schedule meeting space as needed. + Extract and maintain office data, this shall include tracking supply orders, small purchase orders, and publication orders for DWD/EWLB. + Assist with the preparation, coordination, and support of the annual EIS conference. + Local and/or domestic travel will be required. + Submit requests into a variety of CDC electronic bases systems such as ICE (procurement requests and invoices), Concur (Travel) TASNet (Time and Attendance), MACCS (purchase card), STARS (Study Tracking and Reporting System), IAN (Inter-Agency Agreements), NCAMS (Non-U.S. Citizen Access Management System), e-QIP, Navigator, utilizing personal identifiable information that requires Level V/Public Trust Clearance **Qualifications** + Bachelor’s degree in a relevant field + 7+ years of experience _Knowledge, Skills and Abilities:_ + Strong project management, project coordination and prioritization skills, + Ability to recognize client needs, + Exceptional organizational and collaboration skills. + Capable of taking direction and being adaptable to change. + Excellent verbal and written communication skills + Exceptional customer service orientation + Attention to details and deadlines ensuring effective task management Chenega Corporation and family of companies is an EOE.
