Responsibilities:
Provide executive level support to the DWD Director and Deputy.

Conducts complex and multi-functional tasks ensuring the flow of information to and from the Office of the Director and Deputy Director is efficiently and effectively managed. Confidential information is quarantined.

On a daily basis prepare a daily briefing folder with a concise outline of the anticipated events and notations on special issues.

Serve as the liaison for communications between the DWD Office of Director and other offices of CDC and outside organizations.

Efficiently plans and schedules meetings and visitors and assures that briefing materials are provided in proper format. Assures that all logistical arrangements related to outside visitors are planned and executed.

Organize and management communications to and from the DWD Director’s Office regarding policy, procedures, correspondence, and other confidential and sensitive information while in compliance with Health and Human Services and CDC guidelines.

Promptly responds to requests for guidance from the Director or Deputy Director on matters relating to the day-to-day operations at the office.

Disseminates current reference information and updates to staff as directed in a timely manner.

Independently handles complex routine inquiries. Effectively networks to accomplish tasks and display a high degree of professionalism when interacting with Directors, Deputies, Branch Chiefs, and visitors. 

Exercises a high degree of tact, courtesy, cooperation, and diplomacy in corresponding with associates within and outside of CDC. Provides information about the office, its functions, and standard operating procedures to ensure cohesiveness.

Work closely with the Director and Deputy Director to include the Branch Chiefs and other senior managers to ensure requirement request for administrative services are performed in a timely manner and provide assistance and clarification to complete tasks to support the programs mission.

Recommends programmatic and operational processes and procedural changes that will improve the areas of manpower utilization, workload distribution, work methods and procedures. Applies a myriad of past and currently established policies, regulations, directives, and procedures to define and identify courses of action that will contribute to the overall effectiveness of the office.

Ensures the DWD’s Director’s office complies with policy requirements, related to Government equipment, travel procedures.

Complies data from varies sources to create comprehensive reports and performs document filings and archiving of sensitive material.

Responsible for the preparation of the Direction and Deputy Director’s briefings, daily schedules, coordinating presentations, preparing agendas, updating, and tracking action items and travel utilizing the CDC Government travel system

Qualifications:
 

Bachelor’s degree in a relevant field

7+ years of experience

 

Knowledge, Skills and Abilities:

Strong project management, project coordination and prioritization skills,

Ability to recognize client needs,

Exceptional organizational and collaboration skills.

Capable of taking direction and being adaptable to change.

Excellent verbal and written communication skills

Exceptional customer service orientation

Attention to details and deadlines ensuring effective task management.
