Position Purpose:

The primary purpose of this position is to assist all administrative areas of human resources in accordance with current federal, state and local standards, guidelines and regulations. 

Position Responsibilities:

·       Maintain all human resource records according to established standards. Ensure that all records are maintained using the highest possible confidentiality standards.

·       Follow appropriate procedures related to recruiting, new hires, employee changes, and terminations.

·       Assist outsourcing recruiting firm with scheduling internal calls as necessary.

·       Ensure applicant tracking system is recording the data necessary for reporting and that recruiting activities align with affirmative action requirements using internal and external resources.

·        Work with recruiting team to send and maintain employment applications to appropriate candidates as necessary.

·       Process completed new hire paperwork in its entirety. Ensure enrollment is completed in appropriate benefits when eligible and if elected.

·       Complete the employer section of I-9s and process through E-Verify.

·       Work with Corporate Trainer to organize company onboarding.

·       Assist with processing payroll in a timely manner and with the highest level of accuracy.

·       Process all individual employee data changes (pay rate changes, address changes, etc.) in the payroll system. Ensure that any changes that need to be reported to other entities, such as benefit plan carriers, are completed.  

·       Manage all new enrollments, changes in benefit coverage and benefit terminations for individual employees. Ensure that information needed to process benefit coverage changes reaches the appropriate individual or company.

·       Reconcile and manage benefits invoices on a monthly basis. Ensure all adjustments are reflected in the appropriate month. Submit for approval.

·       Audit benefit deductions and coverage quarterly to ensure that employees are correctly charged for benefit plan participation and that coverage reflects their individual election on.  

·       Maintain current job descriptions for all employees Ensure signed copies are in employee’s files.

·       Process all employee termination paperwork. Notify necessary carriers.  

·       Complete verification of employment information as requested, while abiding by company policy. 

·       Maintain company organizational chart and make updates on an as needed basis.

·       File documents into appropriate employee files.

·       Perform customer service functions by answering employee requests and questions. Escalate as appropriate.

·       Submits online investigation requests and assists with new-employee background checks.

·       Maintain ACA tracking in payroll system on monthly basis.

·       Maintain and update the Ease benefits website on an as needed basis.

·       Ensure accurate PTO time is entered into the payroll system upon hire or start of calendar year for employees and that accurate PTO hours are paid out upon termination.

·       Other duties as assigned.

Position Requirements:

·       High school diploma or equivalent.

·       At least 1 year in an administrative position.

·       Must maintain extreme confidentiality to the highest degree in all circumstances.

·       Ability to act with integrity, professionalism, and confidentiality.

·       Ability to prioritize tasks.

·       Excellent verbal and written communication skills.

·       Excellent interpersonal, negotiation, and conflict resolution skills.

·       Excellent organizational skills and attention to detail.

·       Excellent time management skills with a proven ability to meet deadlines.

·       Proficient with Microsoft Office Suite. Strong Excel skills.

·       Must possess the willingness to work harmoniously with other staff members.

·       Must be able to read, write, speak and understand the English language.

·       Must possess the ability to deal tactfully with vendors, customers, employees and the general public.
