AACR Project Genomics, Evidence, Neoplasia, Information, Exchange (GENIE) is a publicly accessible international cancer registry of real-world data assembled through data sharing among an international consortium of leading cancer centers. Through the efforts of strategic partners Sage Bionetworks and cBioPortal, the registry aggregates, harmonizes, and links clinical-grade, next-generation cancer genomic sequencing data with clinical outcomes obtained during routine medical practice from cancer patients treated at these institutions. Job Summary:

 

The Project Coordinating Center is seeking an experienced Senior Administrative Coordinator to support the project executive leadership team. The Senior Administrative Coordinator ensures operational efficiency for the project by meeting the needs of the project executive leadership team in a timely fashion. The incumbent executes all tasks in collaboration with other Coordinating Center team members and ensures coordination of activities across all business units. The candidate must be able to work both independently and in a team environment at a rapid pace. The ideal candidate is an experienced, highly organized, and proactive administrative professional, able to collaborate and communicate effectively across all levels of project staff.

Responsibilities:
Primary Duties and Responsibilities

 

Work directly with the ELT to support all aspects of their daily responsibilities.

Maintain the ELT calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements.

Coordinate with other GENIE Coordinating Center (GCC) staff as needed; play a key role in the coordination of staff efforts and communication across the GCC in collaboration with the Project Management Practice (PMO/P).

Assist in PMO/P activities and processes including project planning, intake, prioritization, initiation, execution, and training, as needed.

Assist the ELT in the development of presentations, external communications, and written materials for internal and external audiences.

Determine priority of matters of attention for the ELT; redirect matters to staff to handle, or handle matters personally, as appropriate.

Keep the ELT advised of time-sensitive and priority issues, ensuring appropriate follow-up.

Routinely perform a wide variety of support duties for the ELT.

Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate and necessary.

Prepare, reconcile, and submit expense reports for the ELT as necessary.

Attend ELT-related meetings and take notes of discussion; prepare the initial draft of minutes and summaries.

Other additional and/or alternative duties as assigned from time to time.

Qualifications:
Required Skills

 

B.A. or equivalent with 3-5 years prior executive support experience minimum.

Excellent verbal and written communications skills.

High proficiency in all Microsoft Office Software Programs (Word, Excel, PowerPoint, and Outlook) required.

Experience using project management software preferred.

Must be able to prioritize, multi-task, and work in a fast-paced environment.

Excellent interpersonal and organizational skills with demonstrated attention to detail.

Must be comfortable working independently and in a group.
