Overview:
This position is responsible for planning, coordinating, and administering the technical and operational activities associated with spare parts, commodities, materials and services procurement, and inventory management and logistics services for one LG&E or KU Generation facility.  The position trains and supervises the personnel performing these activities. 

 

This position oversees all facets of generating station inventory management, logistics and spare parts, commodities, materials and related services, purchasing activities. This position is responsible for ensuring all activities are performed in compliance with company policies and procedures.

Responsibilities:
Core Responsibilities

Directs the general operation of the LG&E or KU Generation facility warehouse and the personnel performing those operating functions.  Activities include and are not limited to the procurement of stock and project material, managing repairs and other services, proper stocking and storage of inventory material, material purchase requisitioning, efficient staging of material for use, accurate and timely receipting and proper storage of material, reporting and maintenance of all records, accurate and timely issuing of requested material, control of hazardous material storage, invoice processing, and sales or disposal of excess and obsolete material.

Responsible for the accurate and timely physical count of all on-site inventories, the reconciliation and approval process and for ensuring a high level of inventory accuracy.

Supervises the performance of warehouse personnel, buyers, and sourcing assistants at the particular generating facility including establishing annual performance goals, providing routine performance feedback and conducting annual performance evaluations. Approve employee time as scheduled.

Oversees the work activities of contract warehouse personnel, approves time, and reviews and approves invoices.

Reviews and approves material requisitions, order requests and purchase orders as per company policy and procedures.

Ensure that the generation plant purchase requisitions in the Oracle Buyer Pool are processed in a timely manner.

Supervises check-out and check-in activities associated with non-inventory material, equipment and tools and maintains log of all outstanding items.

Directs and ensures the accuracy of the ordering, receiving, receipting and distribution of warehouse items between generating facility warehouses and users.

Oversee and actively manage the key warehouse performance indicators including inventory levels, turnover ratio, changes in inventory levels, etc.

Manage the material orders transaction process (adjust, approve, or cancel) and invoice reconciling processes in an efficient manner. 

Manage the identification, analysis and recommended disposition of obsolete and over-maximum stocked material and ensures the appropriate disposition of the material from inventory, consistent with company policy.  Aggressively resolves any material ordering and/or delivery discrepancies with end users and/or suppliers in a timely manner.

Ability to develop a high level of knowledge of complex generation facility equipment and materials necessary to provide plant operations and maintenance personnel with the equipment and materials needed in the performance of their everyday work activities.

Executes fleet wide Generation RFPs and contracts for mechanical, repair, and operations material or other key material items as necessary.

Ability to become proficient in the use of Generation work management system (MAXIMO) and be able to ensure that procurement information flows accurately to the Oracle ERP system.

Supervises the receipt, storage and distribution of non-stock material maintained at the warehouses. 

Manages the repair of equipment including motors, gearboxes, tools, and mobile equipment.

Works with suppliers and plant personnel to ensure proper levels of on-site vendor managed inventory.

Supervise the disposition of any damaged, short and/or over shipped material.

Coordinates with plant operations and maintenance personnel, and appropriate Buyers to determine and establish material needs and corresponding supplier inventory levels.

Reviews requests for addition of new items to inventory and makes recommendation to Commercial Manager for approval. Conduct inventory review meetings with management and proponents to review and approve any new item request, min/max changes, and write- off and disposal of any obsolete items.

Coordinates special material needs with plant engineers, production leaders, maintenance leaders, and other individuals in Generation to ensure material availability meets operational requirements.

Directs the training of warehouse personnel for proper and safe use of material handling equipment, including forklifts, pallet movers, vehicles, manlifts, wire cutting machine, etc.

Ensures that warehouse employees are adequately trained and proficient in using the computer systems (material management, work management, customer information system, excel spreadsheets, etc.).

Actively manages the safety culture and environment of the warehouse and the safe performance of all warehouse personnel.  Ensures that all safety processes and procedures are adhered to at all times. Conducts routine safety tailgates and observations, monthly safety audits and participates in monthly, quarterly, and annual safety meetings as required.

Ensures that warehouse personnel attend site specific employee safety meetings and training sessions.

Coordinates with hazardous material handling storage representative on the appropriate storage of hazardous materials and reporting of any leaks or spills.

Coordinates with freight companies both inbound and outbound to ensure proper freight terms are utilized. Also, work with custom brokers to ensure material clears customs in a timely manner.

Assists in the development of the warehouse O&M budget and capital projects and management of those budgets as necessary.

Maintains current files on employee off-duty, overtime and personnel data.

Maintains current call in list for off-duty emergencies and is responsible for notification and direction of those employees called in.

Maintains a good working knowledge of company policies, procedures and Sarbanes-Oxley Controls and ensures they are adhered to by warehouse personnel.

Plans and organizes workflow processes and ensure warehouse set-up supports efficiency and safety goals.

Performs other duties and assignments as directed by the Commercial Manager.

Qualifications:
Required Qualifications

Education

Bachelor’s degree.

 

Experience

Minimum of five years’ experience in supply chain, material management, working in a power plant, working in another industrial environment, or experience in a related field, or an equivalent combination of education and experience on a year-for-year basis is required.

 

Licensure / Other Qualifications
Must have valid driver’s license and be able to operate company vehicles in multiple terrains and weather conditions.

Preferred Qualifications
Bachelor’s degree in Business, Finance, Supply Chain/Logistics Management or other related field preferred.  Excellent supervisory and interpersonal skills and demonstrated leadership ability.  Good written and oral communication skills.  Possesses demonstrated organization ability and attention to detail. An in-depth understanding of techniques used in managing inventory: analytics, material handling, shipping, receiving, storage, and requirements for physical inventory counts and distribution of inventory.  Working knowledge of procurement and commercial management concepts including purchasing, contracting, Oracle Business Suite, and strategic sourcing skills.  Has a good understanding of hazardous material and DOT terms. Understands how to read (SDS) Safety Data Sheets and where to look for requirements for handling hazardous material.  Oracle Business Suite and Excel proficiency.

 

Work Conditions

Annoyable exposure to heat, cold, stress, dirt, noise, etc. in normal warehouse and storage facility operation. Must be willing to be on call 24/7.

 

Physical Effort
Frequent standing, walking or operating in controlled position. Must have good vision. Must be able to drive to remote locations. Close work with printouts and computer screens. Possible minor lifting involved in the job.
