Overview Administrative Support Coordinator II Graduate School of Education, College of Letters, Arts, and Social Sciences, Cal State East Bay. Reports to the Education department Chairs and provides administrative and clerical support to the departments of Educational Leadership, Educational Psychology, and Teacher Education, serving approximately 750 students across masters, doctoral degree, and credential programs. Responsibilities Clerical Support: respond to inquiries, direct students, staff, faculty, and administrators to policies; assist with student records and enrollment processes; serve as liaison with other departments; maintain department digital records; implement process improvements; maintain knowledge of the University catalog and procedures. Workload and Class Schedules: record and track faculty workload, review for accuracy, communicate revisions, liaise with Contract and Procurement, create and manage class schedules, coordinate with Registrar and other campus entities, manage enrollment, provide enrollment/admissions reports, ensure alignment with policies, support MOU/work for program coordinators. Contracts and Appointments: enter and update part-time lecturer contracts, prepare appointments, maintain lecturer entitlements, payroll certification, assist with online absence reporting, manage lecturer pool in PageUp, prepare postings, report resignations/ leaves, manage access requests, advise on policies. Scholarships: verify funds, distribute scholarships, communicate screening process, submit reporting forms, notify active/closed scholarships, update department website, schedule trainings for Scholarship Review Committee. Additional Duties: backup procurement card purchaser, balance reconciliations, backup contact as needed. Minimum Qualifications Functional knowledge of standard office procedures; ability to operate in diverse organizational structures. Strong English grammar, spelling, punctuation; clear written and verbal communication. Knowledge of business mathematics; ability to learn new office software quickly. High school diploma or equivalent with several years of related office experience (or vocational training). Required Qualifications Excellent organizational and record-keeping skills; attention to detail; discretion with confidential information. Strong interpersonal skills; ability to communicate with a diverse student, faculty, and staff population. Advanced knowledge of Microsoft Excel; proficiency in Microsoft Office and Adobe Acrobat. Ability to manage multiple tasks and projects; collaborative work style; ability to work under pressure. Preferred Skills and Knowledge Two years of skilled office experience or vocational training. Knowledge of CSU policies and procedures; experience handling confidential information; familiarity with PeopleSoft. Conditions of Employment Satisfactory background check required (criminal history, education, licenses, and references). Conditional offer may be rescinded based on background results.
