Job Title: Administrative & Sales Support Coordinator
Focus: Accuracy, Stability, Customer Experience, and "Keeping the Trains Running."
Summary: We are looking for a highly organized and reliable Administrative Coordinator to serve as the central hub of our manufacturing and retail operations. As we transition into a new phase of company growth, you will be the first point of contact for our customers and the key support system for our internal teams. This role requires someone who can handle detailed financial paperwork (billing, financing), manage communications, and assist with general office administration. You will work closely with ownership to ensure the office runs smoothly and efficiently.
Key Responsibilities:
- Administrative assistant tasks for Nate/Management: Handle special admin projects and some general tasks for Management related to Retail, Wholesale, Operations, or Advertising.
- Customer & Vendor Communication: Answer incoming calls with warmth and professionalism; screen and route calls to appropriate departments (Retail, Wholesale, Manufacturing).
- Financial Administration: Handle daily invoicing, billing, and processing of customer financing applications. Assist with Accounts Receivable and Accounts Payable tracking.
- HR & Compliance Support: Assist with employee insurance paperwork, benefits administration, and maintaining employee files.
- Retail Support: Assist Retail Managers with store needs, inventory, POS software support
- Wholesale Support: Assist the Wholesale Director with data entry, order processing, and client communication.
- General Office Management: Manage office supplies, file organization (digital and physical), and general data entry.
Qualifications:
- Proven experience in an administrative or office support role.
- Strong attention to detail—accuracy in billing and financing is non-negotiable.
- Proficient in Google workspace and Microsoft Office and comfortable learning new software.
- Experience in leveraging Gemini/Chat GPT in solving problems and creating processes
- Excellent verbal and written communication skills.
- Ability to multitask in a fast-paced manufacturing/retail environment.
Pay: $ $25.00 per hour
Expected hours: 40.0 per week
