Job Overview
We are seeking a dynamic and highly organized Office Assistant Level 11 to join our aerospace office team This vital role offers an exciting opportunity to support daily office operations, enhance customer interactions, and ensure seamless administrative workflows. Responsibilities
- Greet visitors and clients with professionalism and enthusiasm, ensuring a welcoming atmosphere.
- Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette.
- Handle data entry tasks accurately using Microsoft Office and Epicor ERP software system.
- Maintain organized filing systems, both physical and digital, for easy retrieval of documents.
- Support calendar management and appointment scheduling for staff and executives
- Assist other customer service and management with any office requirements.
- Provide clerical support such as excel spread sheet entry and proofreading documents, preparing reports, and managing correspondence with customers and suppliers.
- Coordinate office supplies inventory and place orders as needed to keep the workspace well-stocked
- Offer exceptional customer support by addressing order inquiries promptly and professionally
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Excellent phone etiquette with experience managing multi-line phone systems
- Strong typing skills with high accuracy; attention to detail is essential for proofreading and data entry tasks
- Prior office experience in clerical or customer service roles preferred
- Ability to manage time effectively and prioritize tasks in a fast-paced environment
- Knowledge of office equipment such as printers, scanners, and fax machines
