The duties that the incumbent of the vacancy will be expected to perform. Duties Description The Administrative Specialist 1, SG-18 reports to the Agency Safety and Health Director 2, M-2 and is assigned to the Bureau of Health & Safety. This position will oversee the Bureau's administrative activities and operations. The Administrative Specialist 1 may be required to supervise/oversee administrative support staff in carrying out assigned functions. This position's duties will include but are not limited to the following:
• Oversee and supervise bureau finances including assisting in the creation of annual expense plans, tracking financial records, and ensuring proper payment to vendors.
• Serve as key user for Statewide Financial System (SFS) to handle procurement and travel expenses.
• Manage purchasing of supplies, equipment, and Personal Protective Equipment (PPE).
• Implement internal controls and ensure fiscal accountability with internal stakeholders and service providers.
• Oversee and implement the following agency-wide programs: o Boot program o Jacket program o Automated External Defibrillator (AED) program
• Track and analyze trainings and facility inspections administered by the regions to ensure compliance.
• Assist in preparation of responses to citations for violations of safety and health regulations.
• Monitor and analyze employee and patron accident reports, including accidents, injuries, and near-miss incidents.
• Assist in collection and analysis of all year-end data.
• Preparing and keeping track of correspondence and answering questions from staff including agency leadership.
• Arrange for medical clearances and medical monitoring through Employee Health Services (EHS) for various programs, including respiratory and hearing protection.
• Manage databases, spreadsheets, and reports maintained and produced by the bureau.
• Oversee the logistics for a weeklong annual safety conference, including arranging for venue, speakers, lodging, and supplies.
• Supervise support staff, delegate tasks; ensure compliance with agency time and attendance rules, and assess staff performance, provide guidance for improvement when necessary.
• Act as liaison for regional support staff and Albany support staff.
• Other duties as appropriate.

• Administrative Specialist Trainee 1, SG 14: ($53,764-$68,630)
• Administrative Specialist Trainee 2, SG 16: ($59,994-$76,359)
• Administrative Specialist 1, SG 18: ($66,951-$85,138)*NY HELPS PROGRAM: For the duration of the NY HELPS Program, this title may be filled via a permanent non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.Employees appointed via the NY HELPS program are restricted for promotional appointment until their position is covered-in to the competitive class by the New York State Civil Service Commission (CSC), or they otherwise obtain permanent competitive status. The CSC has covered-in employees who were appointed via NY HELPS on a permanent or contingent permanent basis between June 26, 2024 and June 11, 2025.
