Construction Office Administrator (Experienced)

Location: East Norwich, NY

Employment Type: Full-Time

We are seeking an experienced Construction Office Administrator to support our growing site work and paving construction operations. The ideal candidate will have a strong background in construction administration, excellent organizational skills, and the ability to manage multiple project-related responsibilities with accuracy and professionalism.

Key Responsibilities

  • Prepare, review, and manage AIA contract documents, including applications for payment, change orders, and related project documentation.

  • Maintain and update company financials in QuickBooks, including job costing, vendor payments, and invoicing.

  • Coordinate and submit payments through various construction payment platforms/apps (e.g., Procore, Textura, BuildingConnected, etc.).

  • Review and manage all insurance certificates, endorsements, compliance documentation, and bond requirements.

  • Prepare bid bonds, assist with performance and payment bond documentation, and liaise with brokers as needed.

  • Handle office procurement, including ordering materials, equipment, supplies, and maintaining vendor relationships.

  • Support project managers with bid submissions, RFP responses, subcontractor onboarding, and compliance tracking.

  • Organize project files, maintain internal records, and ensure documentation accuracy and timely delivery.

  • Provide general administrative support to the construction and development team.

Qualifications

  • 3–5+ years of experience in a construction office or construction administration role.

  • Proficiency with QuickBooks and experience handling project-based financials.

  • Strong understanding of AIA forms, lien waivers, progress billing, and construction documentation.

  • Experience with bid bonds, surety requirements, insurance review, and compliance.

  • Familiarity with construction project management platforms and electronic payment systems.

  • Excellent communication skills, attention to detail, and ability to multitask in a fast-paced environment.

  • Strong organizational and time-management skills.

  • Proficiency in Microsoft Office (Excel, Word, Outlook).
