VSC Fire & Security Richmond, Virginia is seeking candidates for the position of Payroll Coordinator

What you need:

  • Demonstrated high volume, multi-state payroll experience with knowledge of general ledger and basic accounting functions.
  • High degree of keyboard accuracy and numeric calculations.
  • Proficiency in a PC network environment with Microsoft Office as well as company software.
  • Ability to work with highly confidential personnel and compensation information.
  • Individual works in office environment utilizing standard office equipment.
  • Visual acuity for PC and payroll records, auditory acuity for telephone use, and digital dexterity for heavy PC use are required.
  • May require extensive periods of sitting.
  • Ability to read written documents and legible handwriting for record keeping responsibilities.
  • Occasional light lifting and moving (20 – 25 pounds) of office supplies.
  • Must be available to work additional hours as needed.

What you will do:

  • Enter payroll system required new employee information, pay changes, and terminations.
  • Set up, pre-note and maintain employee direct deposit information.
  • Set up, ensure proper withholding and remit garnishments, child support and other payroll deductions.
  • Set up and ensure proper approval of expense reimbursements and other miscellaneous income items.
  • Verify weekly payroll based on payroll hours reported from each district and review for compliance with company policies and wage and hour standards.
  • Verify weekly payroll totals, deduction registers and G/L totals.
  • Distribute paychecks and direct deposit pay vouchers.
  • Process direct deposit funding to bank.
  • Determine tax withholding amounts due to jurisdictions and remit on a weekly or quarterly basis as applicable.
  • Maintain confidentiality of all current and former personnel records.
  • Verify employment, salary and benefit status as requested.
  • Respond to requests for records as required by subpoena or government agency reporting.
  • Enter and process all bonus checks.
  • Assist districts with Davis-Bacon wage calculations.
  • Respond to questions and requests from employees and company management
  • Work closely with Human Resources & Safety Coordinator to ensure all insurance pay deductions are correct on employee paychecks.
  • Calculate and process changes in benefit deduction amounts due to an employee leave of absence.
  • Calculate and process credits and additional deductions due to incorrect deductions.
  • Assist with benefit open enrollment process.
  • Process weekly changes to employee contributions and twice-yearly open enrollments.
  • Verify 401k loan deductions weekly and monthly to ensure repayment remains current with re-amortization schedule.
  • Assist with other Accounting functions and projects as needed.
