Position Overview
:
The Operations Manager plays a critical role in overseeing the daily operations of the facility, ensuring smooth business administration, staff coordination, and efficient office systems, including relationships with our affiliate locations. This position supports the CEO with administrative, operational, and business development tasks, while maintaining a professional and compassionate environment aligned with the mission of providing safe and effective outpatient substance use disorder treatment.
Key Responsibilities:
Administrative & Accounting -
- Oversee general office operations and ensure compliance with company policies.
- Manage bookkeeping functions, including accounts payable/receivable, payroll coordination, accounting, medical claims, and expense tracking.
- Assist with budget preparation, financial reporting, and vendor relations.
- Maintain accurate records, files, and compliance documentation.
- Creating P&L statements and managing GL accounts
Staff & Office Management -
- Supervise and coordinate support staff schedules, responsibilities, and performance.
- Assist in recruitment, onboarding, and training of administrative and support staff.
- Promote a positive work environment, ensuring high levels of staff engagement and professionalism.
- Ensure the facility is well organized, adequately supplied, and operating efficiently.
- Provider credentialing.
Executive Support -
- Provide direct support to the CEO with daily, weekly, and monthly priorities.
- Manage the CEO's calendar, appointments, and communications.
- Prepare reports, presentations, and correspondence as needed.
- Assist with project coordination and follow-up on key initiatives.
Business Development & Growth -
- Support business development activities, including outreach, proposal preparation, and client relationship management.
- Assist with marketing and community engagement efforts to promote the facility's services.
- Track business opportunities and provide administrative support for partnership initiatives.
Qualifications:
- Associate's or Bachelor's Degree in Business Administration, Healthcare Administration, Finance, or related field preferred or equivalent work experience.
- 3–5 years of office management, business administration, or bookkeeping experience.
- Strong organizational and leadership skills with the ability to manage multiple priorities.
- Proficiency in bookkeeping/accounting software and Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Experience in healthcare, behavioral health, or addiction treatment facilities preferred.
- Ability to work with discretion, professionalism, and sensitivity to confidential information.
- Manage compliance with training and HIPAA.
- Experience with creating P&L statements and managing GL accounts
