Proposal Coordinator

Position Summary

The Proposal Coordinator supports the development and submission of proposals and RFx responses across Elior North America. This role partners closely with internal business units, subject matter experts, and the Growth/Business Development team to gather information, organize content, and ensure accurate, compliant, well-structured deliverables. The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities while supporting fast timelines in a deadline-driven environment.

What You'll Be Doing

• Support proposal development efforts by formatting, compiling, and editing content for proposals, RFIs, RFQs, and RFP submissions.
• Gather data and required documentation from cross-functional stakeholders (Operations, Culinary, Finance, Legal, Procurement, HR, Marketing).
• Maintain and update standard content libraries, resumes, case studies, bios, and supporting materials.
• Assist in proposal scheduling, task tracking, and submission planning to ensure on-time delivery.
• Ensure responses align to brand voice, corporate standards, compliance requirements, and segment strategy.
• Assist with template development, formatting, proofreading, and document control.
• Support version control and naming standards to maintain consistency across deliverables.
• Participate in debriefs to identify continuous improvement opportunities on win rate, template updates, and content quality.

What We're Looking For

• 1+ years of experience in proposal coordination, proposals support, business development support, marketing support, or related administrative/operations coordination field.
• Strong organizational skills with ability to manage multiple deadlines at once.
• Excellent writing, editing, formatting, and attention to detail skills.
• Ability to work cross-functionally and professionally communicate with all levels of the organization.
• Proficiency in Microsoft Office 365 suite (Outlook, Word, Excel, PowerPoint, Teams); SharePoint experience a plus.

Preferred Qualifications

• Experience supporting public sector, education, healthcare, or foodservice proposals.
• Experience coordinating proposal content / document management within a centralized shared services or corporate environment.
• Experience with Adobe InDesign and/or Adobe Creative suite

Work Location:
This position is based in our corporate office in Houston, TX, with an in-office schedule Monday through Thursday and the option to work remotely on Fridays. Office is located at: 4920 Westway Park Blvd, Houston, TX 77041

Compensation
Compensation for this role ranges from $60,000 to $65,000, commensurate with experience.
