The Recruiting Coordinator provides essential administrative and operational support to the Tenet Physician Resources (TPR) clinical recruitment team. This role plays a key part in ensuring a smooth and efficient recruitment process by assisting recruiters with workflow management, candidate communication, and data accuracy within MyHR, Salesforce, and external job boards.

Key Responsibilities

Recruiting Operations & Administrative Support

  • Partner with recruiters to coordinate and execute administrative tasks throughout the recruitment lifecycle.
  • Manage data integrity and requisition details within MyHR, Salesforce, and the applicant tracking system (ATS).
  • Post, update, and refresh open positions across and external job boards such as PracticeMatch, PracticeLink, DocCafe, and LinkedIn.
  • Assist with preparing and sending offer letters, onboarding checklists, and credentialing documentation.
  • Track candidate progress through onboarding, ensuring background checks, verifications, and internal tasks are completed by required deadlines.
  • Reconcile and maintain weekly reports, including open requisition trackers, candidate pipelines, and new hire status reports.
  • Ensure accuracy of requisition data and collection of opportunity profiles.
  • Other duties as assigned. If located in one of our TPR markets, potentially relied upon for day of interview support with physician candidates.

Candidate Experience & Communication

  • Serve as a primary point of contact for candidates after interview and offer stages, providing consistent communication and follow-up.
  • Assist recruiters with candidate scheduling, travel coordination, and reimbursements when needed.
  • Collaborate with onboarding to ensure cleared candidates are submitted and ready for start date.

Recruitment Marketing & Event Coordination

  • Maintain and update the recruitment calendar of events, including job fairs, conferences, and local outreach initiatives.
  • Coordinate event logistics and materials, including ordering recruitment collateral and branded supplies.
  • Support marketing campaigns and social media initiatives that highlight TPR's physician and APP opportunities.

Reporting & Compliance

  • Generate weekly and ad hoc recruitment activity reports within Salesforce and ATS dashboards for leadership visibility.
  • Track Employee Referral Program (ERP) submissions and ensure timely documentation for incentive processing.
  • Ensure all onboarding documentation, job descriptions, and verifications are properly uploaded and compliant with Tenet policies and procedures.

Qualifications

  • 2+ years of HR, recruiting coordination, or talent acquisition support experience required.
  • Associate degree preferred; equivalent combination of education and experience accepted.
  • Prior experience with MyHR, Salesforce, or other ATS systems preferred.
  • Strong proficiency in Excel, Outlook, Word, and PowerPoint.
  • Excellent organizational, interpersonal, and communication skills (both written and verbal).
  • Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment.
  • Demonstrated professionalism and ability to interact effectively with physicians, leaders, and cross-functional teams.
