ABOUT THE POSITION:
The Senior Executive Assistant is a member of the People & Workplace team, provisioning administrative support to leadership to advance grantmaking, project execution, and internal communications. The position directly supports several leaders and their teams, and intersects with all staff members at the Foundations.
- Manage administrative needs of multiple individuals; includes calendar oversight and time management, meeting scheduling and set-up, agenda preparation, managing files, submitting expense reports, troubleshooting information technology and system access needs, greeting guests, and travel and conference coordination.
- Support management of timelines and deliverables through the development and maintenance of project planning and tracking tools.
- Regularly communicate with external parties through written communication.
- Enter data in the grants management system and assist with documentation in support of grantmaking and reporting.
- Support onboarding of new individuals within direct service group.
- Support cross-organization needs, including tidying space and executing events.
- Back-up other Foundations executive assistants as needed.
- Assist with other projects, tasks, and processes as required.
CANDIDATE REQUIREMENTS:
It is critically important that the Senior Executive Assistant be a highly collaborative and collegial team player who listens and communicates well. To be considered, candidates will possess a majority of the following professional and personal attributes and competencies:
- Minimum of five years of related work experience in a complex professional environment; experience in the non-profit sector or philanthropy is valued but not required.
- Experience as an executive assistant to multiple people is required.
- Flexible team player with strong interpersonal skills who brings a positive attitude and service orientation to their work.
- High levels of organization, detail-orientation, and proactiveness in supporting others including effective planning and time management.
- Strong commitment to working collaboratively and fostering an inclusive culture with all levels of coworkers, including assistants, program officers and directors, and senior management.
- Advanced computer skills, including proficiency with MS Office and strong aptitude to learn other software systems.
- Excellent written and verbal communication, including phone and editing skills.
- Aptitude and interest in data entry into a centralized database; experience with Salesforce a plus.
- Sound judgment, integrity, and respect for confidentiality.
This position will be based in Boston, MA on a hybrid schedule with a weekly requirement to work in-person with colleagues 4 days/week; successful candidates will need to undergo a comprehensive background check.
COMPENSATION AND BENEFITS:
The Fidelity Foundations offers a competitive salary commensurate with experience, an annual performance-based bonus, and a comprehensive benefits package.

The base salary range for this position is $80,000 - $125,000 per year. Placement in the range will vary based on a variety of factors such as job responsibilities & scope, special skills, education, special certifications, candidate's relevant experience, and other factors.
Base salary is only part of the total compensation package. Employees are eligible for an annual discretionary performance bonus in addition to their base pay.
