Overview

We are seeking a highly organized and professional Office Assistant to support our Family Office. This role requires a proactive individual with strong administrative skills, excellent communication abilities, and proficiency in office management tools. The ideal candidate will be responsible for handling a variety of clerical and support tasks to ensure smooth daily operations within the office environment. Bilingual skills are a plus, as well as experience with medical or dental reception, bookkeeping, and calendar management.

Duties

  • Manage front desk responsibilities including greeting visitors and answering multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and proofreading to maintain accurate records and documents
  • Utilize Microsoft Office Suite, Google Workspace, and other office management software for various administrative tasks
  • Handle calendar management and scheduling for family members or executives
  • Provide customer service support, including client communication and support via phone or email
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Support personal assistant duties such as organizing appointments, managing correspondence, and coordinating events
  • Maintain office supplies inventory and ensure the office environment is organized and efficient
  • Exercise excellent phone etiquette and provide customer support as needed

Experience

  • Prior office management or administrative experience preferred, including clerical roles such as medical or dental receptionist or personal assistant
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools
  • Experience with QuickBooks, bookkeeping, or financial record keeping is a plus
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Excellent typing speed and computer literacy required
  • Bilingual abilities are advantageous for communication with diverse clients or team members
  • Demonstrated ability to manage calendars, handle multi-line phone systems, and provide exceptional customer service
  • Knowledge of office etiquette, proofreading skills, and time management techniques are essential for success in this role

Pay: $72, $81,000.00 per year
