Grade/Class: Grade B, Non-Exempt, Non-Union (Temporary role, on site 4 days per week, at 30 hours per week until end of January 2026)

PRIMARY FUNCTION:

The Gift Operations Assistant is a key player on the Philanthropy Operations team within the Development Department of ADL. The Assistant's role focuses on ensuring timely and accurate handling of donations received by mail, working directly with gift operations and mail room colleagues to sort and process checks received and forward to our caging partner. The Gift Operations Assistant is on-site three days per week. This role reports directly into the Director, Donor and Gift Processing and also supports the Gift Operations team.

Responsibilities:

Primary:

  • Review, sort, scan and log all checks received at CSC location and prepare for forwarding mail to our caging partner
  • Support tribute process by partnerning with Gift Operations team to manage the printing and mailing of tribute cards and acknowledgements
  • Perform data maintenance of accounts and opportunities as requested;
  • Support the Gift Operations team to process gifts into Salesforce via batch gift entry.
  • Provide general administrative support to the Development function, including typing, copying, filing and answering phones.

Qualifications:

Skills:

  • Strong, open and clear verbal and written communication skills.
  • Comfort with numbers, databases and daily problem-solving essential.
  • Expertise with Microsoft Office Suite including Word, Outlook and Excel.
  • Knowledge of and comfort working in database and spreadsheet applications.
  • Basic knowledge of accounting procedures; accuracy and numeracy.
  • CRM or donor database, particularly Salesforce, experience preferred.
  • Effective in building strong working relationships and collaborating across the organization to problem-solve.
  • Ability to work efficiently in a virtual environment with off-site colleagues
  • Agile in working on multiple concurrent deliverables, organizing and prioritizing tasks, and comfortable in dealing with ambiguity inherent in building new processes and change initiatives.
  • A problem-solving focus, an astute attention to detail, and the ability to maintain confidentiality and handle sensitive information.
  • Excellent customer service skills required.

Work Experience:

  • Previous work in non-profit fundraising, finance, or operations a plus.

Education:

  • Associate's degree or High School diploma or equivalent work experience is required.

Work Environment:

  • ADL is a hybrid environment; this role requires 4 days in the office.
    This is a temporary role at 30 hours a week until end of January

Compensation:

  • This position has an hourly rate of $28 per hour. This hourly rate is reflective of a position based in New York, New York. Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
