Summary / Objective

The Office Manager role plays a critical role in ensuring seamless operations across departments—serving as the connective tissue between maintenance, accounting, leasing, and administrative functions. This role demands strong organizational acumen, excellent communication, and the ability to proactively identify and solve problems that enhance operational efficiency and support the company's financial and strategic goals.

Essential Responsibilities: Office Operations & Administrative Support

  • Act as the first point of contact for phone calls, emails, and visitors—resolving issues or routing inquiries with professionalism and urgency.
  • Manage front desk responsibilities, including receiving packages, client check-in, and office organization.
  • Maintain and optimize office inventory, including supplies, beverages, and event needs.
  • Oversee light upkeep of the office environment and coordinate logistics for team meetings and company events.
  • Support HR and administrative functions including document handling, data entry, scheduling, and policy tracking.

Operational Support – Maintenance & Accounting

  • Monitor and update resident accounts, pull delinquency reports, track payment plans, and issue late notices or eviction communications as needed.
  • Interface with rental assistance programs and legal service providers to support resident needs and ensure compliance.
  • Assist with check deposits, licensing renewals (LLC, RRIO), and other time-sensitive tasks that support accurate financial reporting.
  • Support property operations by managing digital and physical filing systems, vendor communication, and process documentation.

Marketing & Digital Presence

  • Execute marketing tasks, updating the company website and managing social media activity.
  • Assist in brand and communication consistency across platforms.

Supervisory Responsibility

None, but may coordinate with vendors and staff on specific tasks or projects.

Work Environment & Physical Demands

  • Office-based, professional environment with standard business hours.
  • Primarily sedentary with occasional walking, standing, and lifting (up to 25 lbs).

Schedule & Hours

  • Full-time, 40 hours per week. Long term employment–we are looking for someone who can grow with the company.
  • Standard hours: Monday through Friday, 8:30 a.m. to 5:00 p.m. with a 30-minute lunch break
  • Occasional flexibility required for time-sensitive operational tasks

Education & Experience Requirements

Required:

  • Bachelor's degree (BA/BS) in Business Administration, Communications, Real Estate, or a related field
  • Minimum 2 years of professional office experience, preferably in property management, operations, or client-facing administrative roles
  • Proficiency in Microsoft Office Suite, Google Workspace, and general tech savviness

Preferred:

  • Familiarity with AppFolio or similar property management software
  • Experience in real estate operations, leasing, or financial admin
  • WordPress and social media marketing experience is a plus
