We are seeking a FOIA / Records Management Specialist with hands-on experience supporting end-to-end FOIA processing and records management activities in a federal environment.
Key Responsibilities
Manage and maintain document management systems ensuring accuracy and compliance:
- Apply FOIA exemptions, including Exemption B(5) (deliberative process privilege), during document review and redaction.
- Conduct research and extract responsive data from electronic and paper records systems.
- Review, redact, and prepare documents for release, ensuring proper application of FOIA exemptions and protection of PII.
- Convert records to PDF format, apply redactions, and assemble response packages.
- Track FOIA requests from intake through final disposition using established case management processes.
- Prepare, send, and coordinate FOIA requests and responses with internal offices and external federal agencies.
- Review search results for completeness, responsiveness, and legal sufficiency.
- Draft correspondence, response letters, and supporting FOIA documentation.
- Update and maintain standard operating procedures, templates, and case file documentation.
- Provide Records and Information Management support, including records retention, disposition, and safeguarding.
- Support file plans, records transfers, and coordination with the National Archives and Records Administration.
- Assist with audits, inspections, and internal compliance reviews.
- Maintain accurate case tracking, metrics, and reporting.
Required Qualifications
- Bachelor's degree from an accredited institution.
- Four or more years of experience supporting FOIA processing, records management, or Privacy Act programs in a federal environment.
- Demonstrated experience with FOIA exemptions including B(5), document review and redaction, data extraction, PDF processing, and FOIA case tracking.
- Strong understanding of records retention, safeguarding, and NARA requirements.
- Proficiency with Microsoft Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills with strong attention to detail.
- Active Secret clearance required.
- Ability to work onsite in Arlington, VA.
Preferred Qualifications
- Experience supporting DoD FOIA or Public Affairs missions.
- Familiarity with FOIA tracking systems and electronic records management tools.
- Experience drafting SOPs, reports, or training materials.
Pay: $70, $75,000.00 per year
