Position Summary
The Full-Time Enrollment Specialist serves as the primary contact for prospective and
current families, playing a critical role in managing the entire enrollment lifecycle from
initial inquiry to final registration, and withdrawal/graduation. This position requires
exceptional organizational skills, meticulous attention to detail, and a commitment to
data accuracy, ensuring that all student and billing records comply with regulatory and
institutional standards. This role requires a detail-oriented individual who provides
exceptional customer service, demonstrates strong organizational and time management
skills, and maintains a positive, solutions-focused attitude. The specialist must
represent Blue Ribbon Results Academy with the highest degree of professionalism,
discretion, and alignment with its mission and values.
Key Responsibilities
● Serve as the primary point of contact for all enrollment inquiries via phone, email,
and in-person visits.
● Professionally answer all incoming calls, assisting families with enrollment
questions, and accurately directing non-enrollment inquiries to the appropriate
staff member.
● Systematically manage the enrollment pipeline, including initial inquiries,
distributing and collecting applications, scheduling and conducting engaging
family tours, and ensuring consistent, timely follow-up communication with
prospective families.
● Coordinate and support new-student registration and orientation events to ensure
a smooth transition for enrolled students and families.
● Execute and maintain accurate, secure, and confidential enrollment records and
billing information for all students.
● Expertly manage and update data across specialized administrative and funding
database systems, including Brightwheel, Mixed Delivery portals, and Department
of Social Services (DSS) platforms.
● Proactively audit and organize all enrollment documentation to ensure complete
compliance with institutional, state, and grant requirements, guaranteeing records
are ready for state inspections and grant audits.
● Collaborate closely with teaching staff and the Executive Director to monitor
classroom availability and facilitate the appropriate and timely placement of new
students.
● Maintain a high standard of professionalism and discretion in all internal and
external communications, especially when handling sensitive family and student
information.
● Represent the Academy and its mission and values consistently and positively in
all interactions with families, staff, and the community.
Qualifications (Preferred)
● Proven experience in an administrative, clerical, or enrollment management role,
preferably within an educational or early childhood setting.
● Strong proficiency in Microsoft Office Suite (Word, Excel) and experience with data
entry and database management; familiarity with Brightwheel or similar student
management systems is a plus.
● Exceptional written and verbal communication skills, including a positive and
professional telephone demeanor.
● Ability to organize, multitask, and manage multiple projects simultaneously while
maintaining rigorous attention to detail.
● High School Diploma or equivalent required; Associate's or Bachelor's degree
preferred.
