Back-Office Administrator

LBN Property Management is seeking a highly organized and detail-driven Back-Office Administrator & Bookkeeper to manage the financial and administrative operations of the business. This role is responsible for all company-level and property-level bookkeeping, accurate record-keeping, vendor payments, invoicing, tenant ledgers, and maintaining clean, up-to-date financials using DoorLoop and QuickBooks Online.
This position ensures the administrative and financial foundation of the company runs smoothly and supports leadership with reliable reporting, reconciliations, and compliance.
Key Responsibilities
Bookkeeping & Financial Management
- Maintain accurate financial records for both company-level and property-level accounts.
- Categorize and reconcile all transactions in QuickBooks Online.
- Manage DoorLoop accounting functions, including tenant charges, payments, owner statements, and property-specific expenses.
- Prepare monthly financial statements, cash flow summaries, and performance reports.
- Track income, expenses, and budgets per property.
- Ensure accurate owner distributions and internal transfers.
- Maintain digital records for all invoices, payments, receipts, and contracts.
Administrative & Back-Office Operations
- Process vendor invoices, verify details, enter into DoorLoop/QuickBooks, and schedule payments.
- Upload and organize supporting documentation in both systems.
- Communicate with vendors regarding invoices, W-9 forms, payment details, and clarifications.
- Maintain a clean structure of the Chart of Accounts across both software systems.
- Manage tenant ledgers, utility reimbursements, and adjustments.
- Support collections, late fee tracking, and security deposit recordkeeping.
- Prepare documentation for audits, end-of-year reporting, and tax filing support.
System Management: DoorLoop & QuickBooks
- Create and update categories, accounts, properties, and financial workflows.
- Ensure data accuracy between both systems through weekly reconciliations.
- Troubleshoot discrepancies and maintain consistent reporting structures.
Qualifications
- 2+ years of bookkeeping, accounting, or property management admin experience.
- Strong proficiency in QuickBooks Online.
- Experience with property management software (DoorLoop, Buildium, AppFolio, or similar).
- Strong understanding of accounting principles, expense categorization, and reconciliations.
- Advanced attention to detail and accuracy.
- Ability to manage multiple properties and financial workflows simultaneously.
- Strong communication skills with vendors, tenants, and internal teams.
- Reliable, organized, and able to work independently with deadlines.
Preferred Skills
- Experience in Section 8 or subsidy-based housing accounting.
- Familiarity with Chart of Accounts setup for property management.
- Experience managing contractor/vendor billing and payments.
- Knowledge of U.S. property-management bookkeeping standards.
