Position Summary
The Administrative Specialist will provide office support to ensure smooth day-to-day operations. We are seeking a highly motivated and enthusiastic individual who can perform a wide range of administrative duties requiring initiative, strong organizational abilities, and excellent communication skills. This role requires the ability to work independently as well as collaborate effectively with other departments. We are looking for someone who is bilingual in Chinese and English to ensure seamless communications.
Key Responsibility
Essential functions may include, but are not limited to, the following:
- Communicate with and screen visitors; issue visitors badge to guests, vendors, consultants and escorting them beyond the lobby.
- Handle incoming calls, emails, and correspondence with professionalism and discretion
- Assist management with report preparation, presentations, and data compilation.
- Maintain organized records, databases, and office systems for easy retrieval and compliance
- Assist in planning and coordinating company events and team-building activities
- Support the submission of expenses, statements, and vendor invoices by verifying accuracy based on contracts, purchase orders, and agreed sales terms
- Manage office equipment maintenance by coordinating with vendors for repairs and routine servicing
- Assists with purchasing and replenishing office supplies and event-related items, maintain cleanliness and organization of office appliances
- Provide administrative support to senior management and department heads, including scheduling meetings, managing calendars, and coordinating travel arrangements
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent required. Bachelor's degree in human resources or related field preferred.
- Bilingual proficiency in English and Mandarin Chinese is required. Cantonese is a plus.
- Minimum 1 year of administrative, office support, or coordination experience.
- Experience supporting executives or senior management preferred.
- Strong proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Proficient in administrative duties such as communications, data entry, and record keeping.
- Strong written and oral communication, follow-up, problem-solving and creative thinking skills.
- Excellent organizational skills with the ability to multi-task and pay attention to detail.
- Ability to handle confidential and sensitive information professionally
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Positive, proactive with a willingness to learn and take initiative
Job Type: Full-time
Pay: $ $22.00 per hour
