In this role, youll face new challenges every day and handle various tasks. Prioritizing and managing multiple requests, meeting deadlines, and building strong relationships are essential. ResponsibilitiesCoordinate and/or facilitate in-office meetings, including catering arrangementsSupport office and company events from pre-planning to setup, takedown, and catering arrangementsReview and reconcile invoices for office expenses, routing for approval and paymentOrganize and maintain the office space to be professional in appearance, keeping commonly used areas, including the kitchen, clean and stocked with suppliesRoute daily mail and packagesMaintain and order office suppliesCoordinate parking badges and reconcile monthly parking invoices and validationsCoordinate and provide new hire welcome onboardingCommunicate with property management for maintenance requests and with vendors as neededProcess various forms such as insurance certificatesPerform general troubleshooting on office equipment (printers/copiers) and coordinate service callsParticipate in a companywide administrative group focused on collaboration and enhancement of administrative servicesParticipate in the group that plans Corporate office activitiesUpdate physical and virtual office bulletin boardsPerform ad hoc requestsQualificationsAbility to reliably work in the office 5 days per week3+ years of experience working in a professional office environment, preferably with the Architecture and Engineering (A&E) or Consulting industryCollaborative and solutions-oriented mindset with a strong focus on client satisfactionExcellent time management and organizational skillsStrong written and verbal communication skillsCapacity to work independently with general direction and guidanceCommitment to high-quality, accurate, and timely work performanceComfort and confidence working in a fast-paced environment with shifting prioritiesFlexible attitude and comfort with managing requests and instructions from a variety of individualsSkill in building and maintaining strong relationships with a variety of personalities and stylesEnthusiasm and ability to maintain a high level of professionalismIntermediate proficiency in Microsoft Word, Excel, PowerPoint, Teams, and Adobe ProfessionalConcur knowledge helpful but not requiredNotary certification (desirable)$28 - $30.50 an hour. Placement within the stated pay range will be determined based upon education, experience, and qualifications.
