What You Do

As a Contract Administrator, you play a vital role in managing and maintaining customer contracts within healthcare or hospital-focused environment. From handling the Request for Proposal (RFP) stage to ensuring long-term contract compliance, your expertise supports smooth operations and positive client relationships. You will use your knowledge of contract language and hospital-specific needs to accurately interpret, execute, and manage agreements. Key responsibilities include:

  • Preparing sales history reports and conducting impact analyses across various reporting platforms.
  • Developing essential contract documents, such as pricing lists and PPA (Pricing and Product Agreement) documents for healthcare accounts.
  • Preparing quotes for healthcare providers and clearly explaining pricing structures and contract terms to hospital administrators, sales teams, and other stakeholders.
  • Maintaining well-organized contract records to support audits, ensure compliance with healthcare standards, and facilitate efficient contract renewals.
  • This role, positioned within the operations department, requires close collaboration with hospital staff, sales teams, and administrative personnel to align contract processes with the needs of the healthcare environment.

Expected Results

  • Prevent contract expirations that could disrupt essential medical services.
  • Accurately maintain pricing structures, ensuring all products and services remain included in contracts.
  • Respond promptly to inquiries and pricing requests from hospital staff and other key stakeholders internally and externally.
  • Seamlessly add new healthcare products to existing contracts.
  • Implement necessary price adjustments while maintaining compliance with healthcare regulations and operational accuracy.

Reporting Structure:

As a Contract Administrator you will report to Operations Leadership.

Collaborating With:

  • Customer service
    – addressing questions about pricing and billing
  • Sales Reps
    – collaborate to confirm contract coverage for specific accounts
  • Managers
    – help manage RFPs
  • Hospitals/Surgery Centers
    – engage with medical staff, including operating room personnel and administrative team members, to support contract-related needs

What You Need:

  • A Bachelor's degree in Business Administration, Healthcare Management, or a related field is preferred.
  • Proven experience in contract management within a healthcare or hospital setting, ideally as a Contract Administrator or in a similar role.
  • Familiarity with contract management software and the Microsoft Suite (particularly Excel for healthcare data analysis). Experience with Vendavo/CPQ systems is preferred.
  • A solid understanding of contract language, legal terms, and their application in the healthcare industry.
