Front Desk Receptionist

POSITION SUMMARY
Deliver welcoming, professional and friendly customer service to all guests in addition to providing general administrative support.
The Administrative Assistant is responsible for creating a positive first impression for all individuals coming into the office and calling on the phone. The Administrative Assistant needs to ensure that all incoming calls, applicants and caregiver processes flow smoothly. It is the responsibility of the Administrative Assistant to answer phones and greet all guests. The Administrative Assistant administers employment forms, supports internal employees, and keeps the office neat and tidy. The Administrative Assistant works to ensure that every phone call is answered, and every guest greeted in a friendly and welcoming manner. The Administrative Assistant provides primary support to the ExpertCare Management Services division by performing all assigned clerical and administrative duties.
ESSENTIAL FUNCTIONS
Phone Support:
- Answers the multi-line telephone system in a prompt and courteous manner
- Determines nature of caller's business and direct the calls to the appropriate person
- Provides customer service to all callers, working to answer routine questions and inquiries
Applicant, Caregiver, and Guest Support
- Greets and welcomes guests in a consistently friendly and professional manner
- Assists and directs vendors with deliveries
- Meets with applicants to complete 1-9 form
- Provides answers to routine inquiries, as appropriate
- Maintains confidentiality of all processed documents
- Package PPE and distribute or mail PPE supplies accordingly
Recruiting and Training Support
- Daily entry of caregiver and recipient files
- Supports team with data entry of trainer evaluations and caregiver training records
- Runs and records initial checks on employees including but not limited to Health and Human Services (HHS), Central Registry Clearance (CRC), Office of Recipient Rights (ORR), and Background Checks
- Runs and records checks on a periodic basis as defined in policies
- Maintains supply of forms
- Processes I-9 form using E-Verify
Other Duties
- Creates and maintains well-organized filing and retrieval systems
- Creates and maintains documents and files for correspondence, proposals, etc.
- Continuously enhances knowledge on the MS Office Suite.
- Completes scanning of daily documents
- Mails various correspondences to recipients and field staff.
- Other projects and activities assigned.
- Opening/Closing duties
SUPERVISORY RESPONSIBILITY
- No supervisory responsibility.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
- Duties are performed in the Troy office.
- Occasional trips to client/prospect locations require outdoor travel and potential exposure to unpleasant weather.
- Ability to sit for extended periods of time and possess the normal range of body motion.
EDUCATION AND/OR EXPERIENCE
- Two years post high school with concentration on business related subjects or equivalent business, sales, or human resource experience.
KNOWLEDGE AND SKILLS
- Demonstrates critical thinking by exhibiting sound and accurate judgement and includes the appropriate people in decision making.
- Exhibits effective communication both (written and verbal) and interpersonal skills including the four quadrants of Emotional Intelligence: self-awareness, self-management, social awareness, and relationship management.
- Must understand general business and office terminology.
- Must have basic understanding of the MS Office Suite Products/Programs.
- Must be able to compose routine correspondence and reports.
- Must maintain a valid state driver's license.
- Must be able to handle multiple "bosses".
- Ability to plan, organize and prioritize work.
