Executive Assistant
The Office of Supervisor Lawson-Remer is seeking to fill an Executive Assistant position. The Executive Assistant provides administrative support to the Board Supervisor and Chief of Staff. This role manages executive schedules, coordinates meetings and travel, and ensures efficient and professional communication on behalf of the Supervisor's office. The ideal candidate demonstrates exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.
Position Summary:
The Executive Assistant provides high-level administrative and organizational support to the Supervisor and Chief of Staff, ensuring the smooth and efficient operation of daily activities. This position is responsible for managing complex calendars, coordinating meetings and travel, handling correspondence, and maintaining accurate records and files. The Executive Assistant serves as a key point of contact between the Supervisor's office, internal departments, external partners, and constituents. The Executive Assistant should uphold a high standard of professionalism and represent the Supervisor's office with integrity, and discretion.
Additional responsibilities include managing the executive inbox, overseeing monthly inventory, maintaining tidy and organized communal spaces, and assisting with constituent casework as needed. The Executive Assistant plays a vital role in supporting board meetings, special projects, and employee onboarding while upholding confidentiality and representing the office with integrity and excellence.
Essential Functions
- Provide comprehensive administrative support to the Supervisor and chief of staff, including calendar management, meeting coordination, inbox management, and correspondence handling.
- Demonstrate proper email etiquette and professionalism in all written communications, particularly when corresponding with elected officials, executive staff, and external partners.
- Prepare, proofread, and edit documents, reports, presentations, and communications with a high degree of accuracy, professionalism, and confidentiality.
- Coordinate travel arrangements, including itineraries, accommodations, and expense reporting.
- Manage and prioritize incoming requests, ensuring timely responses and effective follow-up on action items.
- Answer and route phone calls promptly and professionally, providing assistance or information as appropriate.
- Plan and support meetings and events; prepare meeting agendas, materials, and minutes.
- Maintain filing systems, records, and confidential information in compliance with county policies and procedures.
- Oversee monthly inventory management, ensuring adequate office supplies and materials are maintained.
- Ensure communal spaces (such as conference rooms, annex, and break areas) are tidy, organized, and properly stocked.
- Assist with minimal constituent casework as directed by the Chief of Staff, maintaining a high level of discretion and service.
- Support special projects and initiatives as assigned by the Supervisor or Chief of Staff.
- Maintain and update employee records and assist with onboarding new employees, ensuring all necessary paperwork is completed and staff are introduced to relevant policies and procedures.
- Uphold a high standard of professionalism and represent the Supervisor's office with integrity, discretion, and excellent judgment.

Time commitment and hours**
: This position operates in a professional office environment. It is a traditional 9:00 a.m. – 5:00 p.m. in-office role with limited remote workdays based on business needs. Occasional extended hours may be required to support executive priorities or events.
Salary And Benefits
- $69,000 - $72,000 annually depending on qualifications
- Defined benefit pension plan, with additional savings options through 457 and 401 accounts

Qualifications
Education and Experience:
Bachelor's degree in business administration, communications, or a related field preferred.
OR
Minimum of 2 years of experience providing executive-level administrative support, preferably in a corporate or professional services environment.
Skills And Competencies
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills.
- High degree of professionalism, discretion, and confidentiality.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Zoom, Teams).
- Strong attention to detail and commitment to accuracy.
- Ability to work independently and exercise sound judgment in a fast-paced, dynamic environment.
