POSITION OVERVIEW

The Police Records Assistant is responsible for support in areas of Police Records, Property and Evidence, and general administration. Under general supervision, provide administrative and programmatic support in areas of Police Records, Property and Evidence, and general administration.

Under general supervision, responsible for compiling, maintaining, reviewing and analyzing police records and statistics. Analyze and review release of information. Assure proper case preparation for prosecutorial submission, subpoenas, court orders and other records requirements. Handle reception, including heavy foot traffic, and maintain front lobby security. Answer multi-line phone and route calls and requests for assistance. Provide information to the public and act as liaison with campus community and law enforcement and criminal justice agencies. Provides other general administrative support, including assisting with special projects and other activities as needed. Functions as a team member and provides positive contributions to achieve the goals of the Police Department and handle police records responsibilities.

QUALIFICATIONS
  • Demonstrated ability to write applying the knowledge of basic grammar, punctuation and spelling.
  • Knowledge and skill in using various office machines including printers, copier, fax machine, shredder, scanner and typewriter.
  • Ability to remain composed while effectively interacting with people in stressful situations.
  • Proven organizational skills.
  • Excellent record keeping skills, including accurate data entry and filing.
  • Ability to use judgement in applying policy, precedent and administrative regulations to situations that may not adhere to normal expectations
  • Knowledge of campus geography including buildings, roadways and parking lots; familiarity with San Diego County geographical area.
  • Ability to safely operate a motor vehicle obeying all traffic laws and applicable policies and procedures.
  • Knowledge of proper formats of CLETS/NLETS/ARJIS and San Diego County criminal justice system messages and skill in understanding responses.
  • Skill at researching, compiling and organizing information.
  • Ability to exercise independent and sound judgement.
  • Ability to maintain confidentiality of records and information; knowledge of and adherence to security requirements of law enforcement records and information.
  • Demonstrated ability to comply respectfully with oral and written instructions, and counsel from supervisors.
  • Skills to communicate clearly and effectively with a diverse population including students, staff and faculty, using tact and diplomacy on the telephone, in writing and in person.
  • Demonstrated ability to serve and work well with citizens, peers and management.
  • Excellent attention to detail and accuracy.
  • Demonstrated working knowledge of personal computers, including those in a networked environment, with various software programs.
  • Ability to complete tasks independently and in a timely manner.
  • Knowledge of federal, state and local laws, ordinances and policies governing police records and information; knowledge of law enforcement and criminal justice terminology.
  • Ability to work effectively under pressure and manage workload efficiently to meet shifting deadlines with frequent interruptions and changing priorities.
  • Ability to accept equivocal circumstances and take action where answers to a problem are not readily apparent.
  • Knowledge of and experience with police records as they pertain to property and evidence, subpoenas, public records requests and court orders.
  • Demonstrated ability to interpreted and apply definitions, and understand and implement procedures.
  • Knowledge of and ability to adhere to basic operational characteristics, services and activities of a property and evidence program, principles and practices of property and evidence handling, recording, storage and release and legal guidelines pertaining to the maintenance and control of evidence.
SPECIAL CONDITIONS
  • Must pass background investigation including fingerprint check, medical, drug and psychological exams.
  • Must have working telephone.
  • Must be available to work overtime.
  • Required to hold valid driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program.
  • Must meet CANRA compliance requirement per "California Child Abuse and Neglect Reporting Act ("CANRA," Penal Code sections ".

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $ $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
