Overview

The Auxiliary Program Coordinator plays a vital role in supporting the mission and community life of St. Luke's Episcopal School by overseeing all auxiliary programs, including After School Care, Enrichment Classes, and Summer on the Hilltop. This position ensures that each program provides a safe, engaging, and developmentally appropriate environment that extends the St. Luke's experience beyond the school day. Working collaboratively with faculty, staff, and families, the Coordinator manages daily operations, schedules, and staffing while fostering a culture of joy, curiosity, and care. The role is a key connector between the academic day and the broader student experience—enhancing learning, building community, and ensuring excellence in all aspects of extended-day and summer programming.

Primary Responsibilities

Program Oversight

  • Plan, manage, and supervise all After School Care operations, ensuring a safe, positive, and inclusive environment for students.
  • Develop, schedule, and coordinate Enrichment Programs, working with faculty and outside vendors to offer high-quality experiences aligned with the school's mission.
  • Oversee Summer on the Hilltop, including staff scheduling, vendor coordination, program design, and family communication.
  • Maintain appropriate student-to-staff ratios and ensure compliance with all safety, health, and licensing regulations.

Personnel Management

  • Recruit, train, and supervise After School Care and Summer Program staff.
  • Ensure proper coverage for all programs and manage substitute needs when necessary.
  • Support staff development and uphold a culture of professionalism, positivity, and teamwork.

Administrative & Finance

  • Coordinate program registration, attendance, and billing in collaboration with the Business Office.
  • Track participation data, maintain accurate records, incident reports, and communication logs.

Communication & Collaboration

  • Serve as the primary point of contact for families regarding After School Care, Enrichment, and Summer programming.
  • Collaborate with Division Directors and faculty to ensure program alignment with school priorities.
  • Communicate effectively with parents and vendors, providing timely updates, schedules, and policies.
  • Partner with Marketing and Communications to promote enrichment and summer offerings.

School Community Involvement

  • Attend faculty in-service days, community events, and other designated school functions.
  • Participate in the life of the school by contributing to a positive and welcoming environment.

Qualifications

  • Bachelor's degree preferred; relevant experience in education, youth programming, or operations management required.
  • Demonstrated ability to lead and motivate a team.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency in scheduling and using digital management systems.
  • Commitment to the mission and values of St. Luke's Episcopal School.

Schedule & Employment Terms

  • Position is considered full time
  • Hours: 12:00 p.m.–6:00 p.m. daily while school is in session.
  • Summer Schedule: Full-time during Summer on the Hilltop (June).
  • Participation in school events, staff meetings, and in-service days required.
  • Reports to Business Manager
  • Collaborates WithHead of School, LS Division Directors, MS Dean of Students, Business Office, and Faculty
