Standard Office Hours: Monday-Friday 8 am to 5 pm and other times as needed to reach agency goals or job duties.
Decision Making Authority: Responsible for decisions aligned with duties and level of responsibilities. Executive Directors' approval required on specific matters as outlined in policies and procedures.
Position Overview: The Office Manager plays a vital role in ensuring the efficient and effective operation of the agency through comprehensive administrative, logistical, and programmatic support. This position oversees day-to-day office management functions, supports coordination of professional learning events, and assists in maintaining accurate program documentation and reporting.
Position Accountabilities, Responsibilities and Essential Functions
A critical part of every position is achieving the goals set for the position while delivering high levels of satisfaction to internal and external stakeholders. This is realized by building positive relationships with internal individuals and teams as well as with external partners, and by exhibiting behaviors that contribute to the success of short- and long-term goals of the agency. These behaviors include a focus on timely completion of tasks and high quality of work (with or without supervision) while following all legal, compliance, departmental, documentation, safety, timeline, program and other standards per organizational policies and procedures.
Position requires close collaboration with executive and program directors and applicable teams, clients, stakeholders, member schools, and other agency employees and partners.
Performance is equally a function of goal attainment; timely and accurate completion of assignments; building positive internal and external relationships; and planning, communicating, and coordinating work to avoid last-minute confusion while adhering to legal/compliance guidelines and organizational policies/procedures.

Significant Job Duties
40% Office Administration Support
- Maintain supplies inventory in Bismarck and Minot offices
- Read and professionally respond to communications
- Compose professional letters, create/edit forms and spreadsheets
- Manage agency calendars, including office reservations and scheduling
- Screen and direct correspondence; mail, calls, voicemails, and emails
- Support agency technology needs; monitor storage capacity, manage staff device inventory, etc.
- Monitor vehicle fleet maintenance and upkeep
30% Professional Learning Logistics Management
- Support professional development coordination, including, but not limited to venue and catering logistics
- Provide event management technical support
- Maintain continuing education credit processes
- Manage event registration and attendance management platform (GrowthZone)
- Prepare for and support professional development events; print materials, on-site support, etc.
- Manage professional development event attendance records
- Participate in regular operations team meetings to ensure effective communication and collaboration.
30% Programmatic Support
- Data entry and document organization to include scanning, uploading and digital filing
- File accurate reports and/or evidence meeting program goals/objectives
- Support and track department hiring processes
- Support correspondence to parents regarding program fee collection in afterschool programming
- Maintain proficiency in Infinite Campus to provide ongoing support for the agency and member schools
- Manage student-facing electronics licenses
- Provide technology support for student-facing electronic devices
- Support development and implementation of Medicaid billing processes for new programming
- Provide administrative support for Superintendent Services.
- Assist with data entry and reporting through the MiSO3 system.
- Coordinate logistics and communication for Burleigh County events; spelling bee, etc.
- File, organize, and maintain home school documentation in accordance with agency procedures
- All other duties assigned by the program director and/or assigned designee.
Physical Demands and Work Environment
- Majority of hours of job will be in CREA's Bismarck office, some travel is required (1-2 days per month at CREA's Minot office)
- Ability to work under pressure and deadlines while maintaining professional demeanor,
- Use of phone/computer/software/office: Up to 4-6 hours a day for each activity individually or combined,
- Climb/Pull/Lift: Up to 4-6 hours a day for each activity individually or combined, move and lift up to 30 pounds,
- High level of interaction with others.
Essential Skills, Experience and Expertise
- Education: Associate degree or higher level,
- Attention to Detail/Organization and Critical Thinking: Strong organizational and time-management skills to prioritize tasks and manage multiple deadlines efficiently and effectively. Proficiency in developing and documenting efficient processes to support program development and maintenance while ensuring long-term sustainability, self-motivated with the ability to take initiative and work independently to achieve program goals.
- Interpersonal: Excellent communication and collaboration skills needed,
- Use of Software and Office Equipment: Ability to use smart phones and tablets, cloud-based and internet apps i.e. Microsoft Suite including TEAMS, Google Suite, Zoom, standard office equipment (copier, fax machine, etc.), computers (Mac preferred, PC), other specialized software, and the internet. Position will require learning and proficiency of additional technological systems.
