Alliance Center for Hearing is a growing audiology clinic dedicated to providing exceptional hearing healthcare with compassion, professionalism and personalized care. We are seeking a highly organized, proactive, detail oriented Office Manager to oversee our daily office operations.
In this newly created role, the Office Manager will have the unique opportunity to shape and implement office policies and procedures that enhance the clinic's efficiency, support patient satisfaction and contribute to the clinic's long-term success.
The ideal candidate will possess strong leadership skills, a solid background in administrative tasks, thrive in a dynamic environment, take initiative and enjoy ensuring the smooth functioning of our clinical environment. This role requires excellent communication skills, attention to detail, and the capacity to manage multiple responsibilities effectively. The Office Manager will play a crucial role in supporting our team and enhancing the overall productivity of the clinic.
Duties and Responsibilities
- Manage day-to-day administrative operations, ensuring efficiency and organization.
- Develop, implement, and optimize office policies and procedures.
- Assist in managing patient scheduling and front office operations.
- Maintain patient records and ensure HIPAA compliance.
- Coordinate with insurance companies for claims processing, billing and verifications.
- Track inventory and order office supplies as needed.
- Serve as a liaison between clinical staff, patients, and external partners.
- Monitor and improve office workflows to maximize efficiency and ensure patient satisfaction.
- Maintain accurate records through bookkeeping, payroll processing, and budget management.
- Provide clerical support such as filing and data entry.
- Ensure effective communication within the office through multi-line phone systems and email correspondence.
- Oversee office projects.
- Process accounts receivable and accounts payable.
- Track and report on key performance indicators.
Experience
- A bachelor's degree in business administration or a related field, or 3+ years proven experience in office management or a similar administrative role is essential.
- Familiarity with medical office management is a plus.
- Strong organizational and problem solving skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal, with a focus on phone etiquette.
- Proficiency with Microsoft Office.
- Knowledge of HIPAA regulations and general healthcare compliance.
- Superb customer service skills as you will be an integral part of ensuring patient centered care.
- Experience in supervising teams and managing personnel-related functions.
- Proficiency in schedule management.
- Knowledge of budgeting practices and bookkeeping principles.
- Previous experience with training & development initiatives is advantageous.
