Position Overview
We are seeking a detail-oriented and proactive Scheduling Coordinator to join our dynamic team. The Scheduling Coordinator will be responsible for coordinating and managing interpreter and translator schedules across multiple time zones, ensuring timely and accurate service delivery to our clients nationwide. This position plays a key role in facilitating smooth operations and excellent client experience.
Key Responsibilities
- Coordinate daily and long-term scheduling for interpreters, translators, and clients.
- Maintain and update scheduling systems, ensuring accurate records of assignments and availability.
- Communicate with linguists and clients to confirm service requests and manage last-minute changes.
- Monitor email and phone channels to respond promptly to scheduling requests and emergencies.
- Ensure coverage for services in high-demand languages and specialty areas.
- Liaise with recruitment and operations teams to forecast staffing needs and coverage gaps.
- Assist in onboarding new linguists into the scheduling system and provide guidance on availability submissions.
- Generate weekly and monthly scheduling reports for internal tracking and client reporting purposes.
Required Qualifications
- High school diploma or GED (Associate's or Bachelor's degree preferred).
- Minimum 2 years of experience in scheduling, dispatch, logistics coordination, or administrative support.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite and scheduling platforms.
- Exceptional organizational skills and the ability to manage multiple tasks under tight deadlines.
- Comfortable working in a fast-paced, remote team environment with high attention to detail.
Preferred Qualifications
- Experience in the language services industry (translation/interpretation) is highly desirable.
- Familiarity with government contracts and/or scheduling for government or medical interpreting assignments.
- Multilingual abilities a plus.
