Scope of Position: The Administrative Coordinator within the Community Support and Outpatient Programs division is a key member of the management team, responsible for ensuring that programs have the staff and resources necessary to deliver high-quality care to program participants while maintaining fiscal responsibility to funders. This role oversees the timely and seamless posting and onboarding of new staff, monitors staff compliance with required trainings, and ensures that purchasing across the division is coordinated with the Finance Department and meets all oversight requirements. Additionally, the Administrative Coordinator manages the coordination of external trainings and conference attendance, ensuring all arrangements align with agency policies and regulatory guidelines.

Essential Position Functions:

  • Assist with job postings, applicant screening, resume routing, interviewing, and tracking of potential new hires throughout the hiring process.
  • Work closely with the Human Resources and Finance departments to ensure timely communication and completion of the hiring process.
  • Identify and report obstacles to recruitment and retention.
  • Maintain up-to-date job descriptions and postings.
  • Collaborate with the Compliance and Training department to coordinate and track attendance and completion of all required Bridge training.
  • Work closely with the Purchasing and Finance departments to ensure division staff receive necessary supplies while maintaining fiscal responsibility.
  • Ensure compliance with all applicable laws, regulations, policies, and best practices related to project operations.
  • Manage select division-wide vendor relationships.
  • Coordinate distribution of uniforms and other Bridge-branded items across the division.
  • Coordinate ordering of food and supplies for meetings and events.
  • Arrange travel and accommodations for staff attending trainings and conferences.
  • Perform all other duties as assigned by the direct supervisor.
Qualifications
  • Bachelor's degree in a related field required; Master's degree preferred.
  • Creative and detail-oriented team player with excellent organizational and communication skills.
  • Ability to prepare accurate and timely reports.
  • Strong analytical and project management skills.
  • Computer literacy required, with proficiency in MS Office; knowledge of Paycom and AWARDS preferred.
  • Ability to manage multiple high-priority projects and meet deadlines.
  • Open to receiving and applying feedback.
  • Possesses a great sense of humor.
