Position Summary:

The Accounting Clerk is responsible for providing essential support to the accounting department by performing daily accounting tasks, maintaining accurate financial records, and assisting with financial reporting. This role focuses on transactional processes such as data entry, reconciliations, and basic financial analysis to ensure smooth financial operations and compliance with internal procedures.

Key Responsibilities:

Accounting Operations & Data Entry:

  • Perform various activities to assist the manager in maintaining the financial, statistical, and accounting records of the credit union.
  • Enter data into accounting systems and generate daily reports. Prepare financial, regulatory, and special reports weekly, monthly, and quarterly as requested.
  • Process and record daily financial transactions, including accounts payable (AP) and accounts receivable (AR).
  • Prepare accounts payable checks after receiving proper authorization.
  • Post general ledger entries and proof totals with the general ledger system. File and store general ledger journals daily.

Reconciliations:

  • Verify and balance teller sheets from all locations daily. Total checks and prepare deposit slips for daily bank deposits. Verify that checks from members have proper endorsement.
  • Reconcile MasterCard statements and share draft statements.
  • Assist the share draft department in encoding errors, late returns, and other issues. Batch checks in numerical order and indicate missing stubs.
  • Maintain the FED Line by wiring money to/from the Federal Reserve, verifying outgoing wires, managing rollovers, and reconciling the Federal Reserve account. Wire funds for mortgage purchases.

Financial Support:

  • Prepare daily cash flow reports.
  • Review and enter employee expenses into the general ledger.
  • Deposit mortgage checks from settlement companies.
  • Assist with compiling data for monthly and quarterly financial reports.
  • Provide documentation support for internal and external audits.

Compliance & Documentation:

  • Maintain organized files for accounting records and audit readiness.
  • Ensure compliance with internal policies and regulatory requirements.
  • Follow procedures related to BSA/OFAC/CIP compliance and participate in required training.

Administrative Support:

  • Support the accounting team with clerical tasks such as filing, scanning, and document management.
  • Assist in preparing invoices, processing payments, and handling vendor communications.
  • Maintain working knowledge of various accounting software programs.

Required Knowledge, Skills, and Abilities:

  • Basic understanding of accounting principles and financial processes.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Strong attention to detail and organizational skills.
  • Ability to perform accurate data entry and handle numerical calculations.
  • Effective communication and teamwork skills.
