Job Title: Office Administrator & Bookkeeper

Lutheran Campus Ministry in Greater Pittsburgh

Reports to: Campus Pastor/Executive Director

Time Commitment: Part-time approximately 10 hours/week- 40 hours/month.

Compensation: $20/hour

Position Overview:

The Office Administrator & Bookkeeper is responsible for supporting the day-to-day operations of the campus ministry through administrative organization, financial tracking, and communication. This person ensures smooth internal operations and accurate financial records, enabling the ministry team to focus on outreach, discipleship, and student engagement.

Key Responsibilities & Estimated Time Allocation (Monthly):

1. Financial Management and Bookkeeping – 10–12 hrs/month

  • Track income and expenses in accounting software (e.g., QuickBooks, Wave, or Excel)
  • Prepare monthly paychecks for staff with oversight by board and executive director
  • Reconcile bank statements and maintain organized financial records
  • Categorize and file receipts, reimbursements, and invoices
  • Prepare monthly financial reports for staff or board
  • Assist with budget planning and tracking ministry spending

2. Office Administration – 6–8 hrs/month

  • Manage and order office supplies and materials
  • Maintain digital and physical filing systems
  • Coordinate with vendors (e.g., printing, campus facilities)
  • Support event logistics: reserving spaces, printing materials, prepping supplies

3. Communication & Scheduling – 4–6 hrs/month

  • Attend weekly staff meeting with the Campus Pastor
  • Answer phones, check and process mail when in the office
  • Send regular ministry updates to staff, donors, and volunteers (via email or newsletters)
  • Maintain up-to-date contact lists
  • Assist in scheduling meetings, retreats, and staff gatherings
  • Coordinate with campus departments when necessary

4. Donor & Support Tracking – 3–4 hrs/month

  • Maintain accurate donor records
  • Record gifts and send acknowledgments/receipts
  • Coordinate with the central office or development team if applicable

5. Compliance & Reporting – 1–2 hrs/month

  • Assist with tax documentation and annual filings
  • Track and document ministry assets, if required
  • Ensure compliance with organizational or campus policies

Qualifications:

  • Strong organizational and communication skills
  • Experience with bookkeeping or willingness to be trained
  • Proficiency with email, spreadsheets, and cloud-based tools
  • Trustworthy with confidential information
  • Alignment with the mission and values of the campus ministry

Preferred Experience:

  • Previous administrative or bookkeeping experience
  • Familiarity with nonprofit or church financial practices
  • Basic understanding of donor relations

Job Type: Part-time

Pay: $20.00 per hour

Expected hours: 10 per week
