This is more than an admin job. As the Lead Administrative Coordinator, you'll be the operational glue that holds key systems and workflows together. You'll oversee the smooth flow of information, communication, and coordination across teams and serve as a go-to person for day-to-day operations.

You'll also supervise our Administrative Coordinator, helping to set a culture of excellence and care in how we organize, manage, and show up in our work.

Key Responsibilities

Systems Management & Optimization

Maintain and audit internal systems (ClickUp, NEON, SmartSimple) for accuracy and alignment. Monitor task dashboards and ensure timely follow-ups.

Lead file management, data integrity, and permission settings.

Train team members and guide system improvements.

Administrative & Office Operations

Supervise the Administrative Coordinator and oversee inboxes, phone lines, mail, and

supplies. Support virtual meetings (tech, chat, troubleshooting).

Coordinate complex schedules and prep for meetings (agendas, notes, materials).

Maintain shared spaces and ensure smooth office logistics.

Ensure brand consistency across digital and print communications.

Operations Support & Logistics

Manage internal calendars and event logistics.

Coordinate travel, vendor communications, and special projects.

Archive projects and support reporting and compliance.

Partner with IT to address access or system issues.

Leadership & Cross-Team Coordination

Coach and mentor the Administrative Coordinator.

Identify and implement operational improvements.

Support culture-building efforts and strategic projects across departments.

Align admin processes with our values: equity, intentionality, transparency, and

About You — The Ideal Candidate

Must-Haves:

5+ years of admin, ops, or project management experience.

Proven experience leading staff, managing systems, or running office operations.

Strong communication, organization, and problem-solving skills.

Proficiency in Google Workspace and Microsoft Office.

Comfort navigating fast-paced, mission-driven environments.

Nice-to-Haves:

Experience with ClickUp, NEON CRM, or JotForm.

Nonprofit or grassroots org experience.

Background supporting hybrid work or light IT troubleshooting.

Experience supervising or mentoring junior staff.
