Job Overview
We are seeking a highly organized and detail-oriented Bookkeeper and Executive Assistant to support the executive team at our economic consulting firm, Grayslake Advisors. The ideal candidate will possess strong accounting knowledge, including experience with QuickBooks and billing/timekeeping software such as Clio . This role requires excellent written and verbal communication skills and the ability to manage multiple administrative and financial tasks efficiently. This candidate will play a vital role in maintaining accurate financial records, managing case timelines, and ensuring smooth daily operations within a professional environment.
Duties
- Manage and maintain financial records using accounting software such as QuickBooks, and billing/timekeeping software such as Clio.
- Perform accounting and reconciliation to ensure accuracy of financial data.
- Prepare journal entries, process accounts payable/receivable, and handle bank reconciliations.
- Assist with payroll processing and tax-related documentation for compliance purposes.
- Support budgeting activities by analyzing financial data and preparing reports for management review.
- Conduct account reconciliation to verify the accuracy of financial reports.
- Send monthly invoices to clients and manage collections and accounts receivable.
- Maintain up-to-date knowledge of financial concepts including debits & credits, double-entry bookkeeping, and technical accounting standards.
- Provide administrative support such as managing calendars, scheduling meetings, and handling correspondence for executives.
- Coordinate with external accountants as needed for tax compliance.
- Help plan and organize team-building events and meals.
- Assist with routine errands, including to retrieve mail and make banking deposits.
Experience
- Proven experience as an Executive Assistant or in a similar administrative role supporting senior management.
- Strong background in financial accounting.
- Proficiency with accounting software including QuickBooks, and legal billing and timekeeping software such as Clio.
- Knowledge of accounting standards and experience with balance sheet reconciliation, general ledger accounting, and account reconciliation processes.
- Familiarity with financial concepts such as debits & credits, journal entries, bank reconciliation, payroll processing, and budgeting.
- Excellent organizational skills with the ability to handle multiple priorities efficiently.
- Strong written and verbal communication skills for preparing reports and communicating with clients and team members.
Job Type: Full-time
Pay: $70, $90,000.00 per year
