Description
Overview:
The Executive Business Partner provides direct support to the President and the Executive Leadership Team (CHRO, CFO, CMO, CCO, CTO) while serving as a key operating partner to the Chief of Staff, as well as the Workplace Engagement Specialist. This role ensures the executive team runs efficiently, communication flows seamlessly, and strategic priorities are executed effectively. The EBP delivers leverage through proactive scheduling, project management, and communication support—ultimately creating focus, clarity, and cohesion across the organization.

Primary Objectives:
- Executive Support
Manage and optimize time, priorities, and communications for the President and Executive Team. - Strategic Operations & Project Management
Drive coordination of executive projects, events, and culture initiatives that strengthen alignment and execution. - Legal and Compliance Support

Detailed Job Duties: (typical monthly, weekly, daily tasks which support the primary objectives)
Executive Support- Manage and prioritize complex multi-executive calendars, ensuring time is allocated to the highest-value work and meetings are well-prepared.
- Coordinate executive meetings, offsites, and board-level sessions, including logistics, materials, and follow-up.
- Prepare briefing documents, agendas, talking points, and executive summaries.
- Create, edit, and format presentation materials, decks, and documents to executive standards.
- Draft and refine internal communications, announcements, and talking points on behalf of executives.
- Occasional running of errands for the President only
- Maintain strict confidentiality and exercise sound judgment in all interactions.
- Partner with the Chief of Staff to coordinate executive priorities, project timelines, and deliverables.
- Act as project manager for special projects assigned by the executive team such as an annual Hackathon
- Partner with the People Operations Coordinator to plan and coordinate internal events, including leadership offsites, company-wide meetings, and culture-building programs.
- Partner and liaise with the internal communications team to schedule and coordinate company-wide communication initiatives.
- Build and maintain systems, templates, and workflows to improve executive efficiency and communication.
- Liaise with cross-functional partners to ensure clear alignment and follow-through on executive actions.
- Serve as a culture ambassador - reinforcing company values as well as professionalism, transparency, and collaboration.
- Assist the legal and People Operations team in documentation management, eSignatures, electronic filing, and other miscellaneous tasks.
- Act as a liaison between the executive team and internal or outside counsel on confidential matters
- Support corporate filings, regulatory calendars, and entity record keeping
- Coordinate document notarization, witnessing, and filing as needed
- Draft or edit standard correspondence, resolutions, or summaries for review by counsel

- Executive time is protected and purposeful. Calendars reflect true priorities, meetings start on time, and materials are prepared in advance—reducing last-minute chaos.
- Leadership communication is polished and consistent. Briefings, decks, and announcements are well-written, visually sharp, and aligned with tone and intent.
- Projects and deliverables move forward. Executive commitments are tracked, dependencies are surfaced early, and stakeholders stay aligned without repeated follow-ups.
- Offsites, board meetings, and company events run flawlessly. Every detail—from logistics to follow-up—is handled proactively, leaving executives free to lead, not coordinate.
- Confidential and legal matters are managed with precision and discretion. Sensitive information stays secure; documentation, filings, and eSignatures are handled accurately and on time.
- The executive office runs like a system. Templates, trackers, and processes make collaboration easy and scalable.
- The role earns trust. Executives see you as an extension of themselves—a professional who anticipates needs, filters noise, and represents them with credibility.
- The culture of the leadership team improves. Meetings are efficient, tone is professional yet human, and values like transparency, follow-through, and respect are reinforced daily.
The MUST Haves: (ex: job cannot be done without these skills/competencies, education, experience, certifications, licenses)
- Minimum 5–7 years of executive assistant, business partner, or senior administrative experience supporting multiple senior leaders (VP+).
- Proven success managing complex calendars, travel, and executive communications in a fast-paced or high-growth organization.
- Demonstrated ability to manage confidential and sensitive information with discretion.
- Advanced proficiency in Google Workspace (Calendar, Sheets, Docs, Slides, Drive) and Microsoft Office Suite.
- Strong writing and editing skills; able to draft, polish, and adapt communications for tone, clarity, and executive voice.
- Skilled in project coordination—tracking deliverables, managing timelines, and following through without prompting.
- High comfort level with presentation design and formatting for executive decks (Google Slides, PowerPoint, Canva, or similar).
- Basic familiarity with AI productivity tools (ChatGPT, Gemini, Notion AI, Otter, etc.) for drafting, scheduling, or summarizing tasks.
- Excellent judgment, professionalism, and interpersonal skills—able to interact confidently with executives, board members, and external partners.
- Highly organized and detail-oriented; able to juggle competing priorities calmly.
- Anticipates needs rather than reacts to them.
- Exercises maturity, integrity, and confidentiality at all times.
- Reliable, proactive, and unflappable under pressure.
- Demonstrated ability to "connect the dots" between people, projects, and outcomes.
- Able to work full-time onsite in El Segundo (hybrid flexibility possible).
- Occasional after-hours or weekend support for key events or projects (board meetings, offsites, Hackathon, etc.).
The Nice to Haves: (preferred additional skills/competencies, education, experience, certifications, licenses)
- Bachelor's degree in Business Administration, Communications, or a related field.
- Certification Notary Public
- Experience working directly with a Chief Executive Officer, President, or Chief of Staff.
- Prior experience in tech, marketing, or media industries (fast-moving and cross-functional environments).
- Experience supporting board of directors logistics, materials, or governance processes.
- Familiarity with corporate legal processes (entity filings, eSignature platforms, NDAs, contract routing).
- Experience with event or offsite coordination at the executive or leadership level.
- Exposure to internal communications or employer branding projects.
- Skilled in creating process documentation, templates, and scalable workflows.
Pay Transparency:
The anticipated base salary range for this position is $105,000 to $125,000. The final salary offered to a successful candidate will be dependent on several factors that may include, but are not limited to; the type and length of experience within the job, type and length of experience within the industry, the type and length of knowledge and skills for the position, education, training, etc. Prodege is a multi-state employer and final compensation within this range could be impacted by work location. Please note that the compensation details listed in US role postings reflect the base salary only, and do not include bonus, equity, or benefits.
