The Role
We're looking for an Operations Coordinator to strengthen communication and coordination across our client projects and internal team. You'll work closely with leadership to manage project workflows, facilitate clear communication between clients and team members, and ensure deliverables stay on track.
This role focuses on enabling great work to happen smoothly rather than imposing process for its own sake. You'll help us maintain our commitment to responsive, insightful service while supporting sustainable growth.
Key responsibilities:
- Facilitate daily and weekly prioritization with leadership
- Translate client requests into clear project specifications
- Coordinate schedules and deliverables across distributed team members
- Manage client communication including status updates, asset requests, and project check-ins
- Document decisions and maintain project clarity in our systems
- Identify potential scheduling conflicts or scope issues early
- Support smooth handoffs between strategy, design, and development phases
Schedule & Structure
Core commitment:
- Three scheduled check-ins per week with leadership (mornings, 30-45 minutes each)
- Available for Slack and email communication during business hours (9am-5pm Central Time)
Flexible hours:
- Remaining 12-13 hours per week structured to fit your schedule
- Mix of synchronous work (client calls, team coordination) and asynchronous work (documentation, email, project planning)
Total: 15 hours per week with potential to grow to 20-25 hours based on mutual fit and business needs
What We're Looking For
Required qualifications:
- 3+ years of experience in operations, project coordination, or client services
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and adapt as client needs evolve
- Strong organizational skills and attention to detail
- Experience with project management tools and collaborative software (Google Workspace, Slack, etc.)
- Self-directed work style with good judgment about when to escalate vs. resolve independently
Preferred qualifications:
- Experience in creative agencies or professional services environments
- Familiarity with web development, digital marketing, or branding projects
- Background working with distributed or remote teams
- Client-facing communication experience

- Comfortable with evolving priorities and client-driven timelines
- Collaborative team member who works well across different personalities and communication styles
A Typical Week
Scheduled touchpoints:
- Three 30-45 minute check-ins with leadership to review priorities, discuss project status, and align on next steps
- Occasional client meetings where you'll participate, take notes, and manage follow-up
Ongoing coordination:
- Monitor project management system and flag items needing attention
- Draft and send client communications (updates, requests, confirmations)
- Coordinate with team members on project timelines and deliverables
- Document project decisions and maintain clear specifications
- Prepare briefing materials and meeting agendas
Response-based work:
- Address questions and requests via Slack and email during business hours
- Provide quick clarifications to keep projects moving forward
- Update project documentation as decisions are made
