Responsibilities

  • Serve as the front desk ambassador, greeting visitors, clients, and vendors with professionalism and warmth
  • Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for creating reports, presentations, and correspondence
  • Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
  • Assist with bookkeeping duties using QuickBooks or similar accounting software to track expenses and invoices
  • Provide exceptional customer support by addressing inquiries promptly and efficiently via phone or email

Qualifications

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Excellent computer literacy including proficiency in Microsoft Office, Google Workspace, data entry, and general computer skills
  • Prior experience in customer service roles demonstrating strong communication skills and professionalism
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Experience with phone etiquette, multi-line phone systems, filing systems, proofreading, and calendar management
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous
