The Opportunity: Your Role as a Foundational Leader

We are seeking a highly skilled, experienced, and motivated
Accounting & Administrative Manager
to serve as the functional head of our accounting and administrative operations. This is a critical, hands-on role that requires an
expert-level proficiency in QuickBooks Online (QBO)
and a strong ability to manage all daily, weekly, and monthly financial cycles.

While you won't have direct reports, you will serve as a
key member of the Leadership Team
and act as an
indirect leader
across all four locations, ensuring our operations managers have the financial and administrative support they need to succeed.

As you grow in your role and enable the company to grow and succeed, this role could provide a talented and motivated candidate the career path to mature into a Controller and eventually the company's CFO.

Key Responsibilities

The Financial Core (Approx. 80%)

As the accounting powerhouse for Crate Pros, you will be responsible for the full-cycle accounting functions for the entire company:

  • Full-Cycle Accounting:
    Execute and manage all core accounting functions using
    QuickBooks Online (QBO)
    .
  • Accounts Management:
    Manage all
    Accounts Payable (AP)
    and
    Accounts Receivable (AR)
    processes, ensuring accurate and timely invoicing and vendor payments.
  • Payroll & Reconciliation:
    Process
    weekly payroll
    accurately and on time, and perform
    monthly bank and credit card reconciliations
    .
  • Month-End Close:
    Execute the
    month-end closeout process
    , including financial reporting, corporate allocations, and providing key insights to the leadership team.
  • System & Process Ownership:
    Own the QBO platform, ensuring data integrity, optimized functionality, and compliance.

Operational & Leadership Support (Approx. 20%)

Your role extends beyond finance to serve as a critical support hub for our multi-location operations:

  • Location Support:
    Work daily with
    Location Operation Managers
    to provide timely support on customer invoicing, vendor packets, and weekly payroll reconciliation.
  • Administrative Coordination:
    Provide essential administrative support to various company functions, including
    HR, IT, and general office needs
    .
  • Leadership Team Member:
    Actively participate in the company's
    Leadership Team
    , contributing to strategic discussions and operational efficiency improvements.

What We're Looking For: Skills & Qualifications

Must-Have Requirements

  • QuickBooks Online (QBO) Expert:
    Proven, deep expertise in managing all facets of a small-to-mid-sized business's financials within QuickBooks Online.
  • Relevant Experience:
    Previous experience in a full-cycle accounting, office management, or business support role, ideally within a small-to-mid-sized company ($2M - $20M revenue).
  • Detail & Communication:
    Exceptional
    attention to detail
    , a passion for accuracy, and excellent
    written and verbal communication skills
    .
  • Team Player:
    A willingness to jump in, support the team, and contribute positively to a hardworking, service-oriented culture that exemplifies our core values.
  • On-Site Commitment:
    Must be able to work
    on-site
    initially for training and to build foundational knowledge of the business (with flexibility for remote work possible as training and performance progress).

Highly Desired (The "Bonus")

  • Certification:
    QuickBooks Online Certification (Level I or Level II).
  • Education:
    Bachelor's or advanced degree in Business, Accounting, or Finance.
  • Operational Mindset:
    Understanding or experience with the
    Entrepreneurial Operating System (EOS)
    or basic
    construction/operations
    knowledge.

Compensation & Benefits

  • Competitive Salary:
    $65,000 - $85,000
    based on experience.
  • Incentive Pay:
    Quarterly performance incentives tied to company and operational goals.
