Intake Specialist
Job description: We are seeking an organized and friendly specialist to join our law firm. In this role, you will answer phones, greet clients, manage appointments, and perform various administrative tasks. Strong attention to detail and a professional demeanor is essential. Experience in a legal environment is a plus, but not required.
Key Responsibilities:
Front Desk Management:
- Greet clients and visitors warmly upon arrival, ensuring they feel welcome and comfortable.
- Maintain a tidy and organized area, creating a professional and inviting atmosphere.
Client Interaction:
- Assist clients and visitors with check-in procedures and notify appropriate staff of their arrival.
- Provide information and directions to clients and visitors as needed.
- Handle inquiries and provide general information about the firm's services.
Administrative Support:
- Manage the scheduling and coordination of conference rooms and meeting spaces.
- Assist with the preparation of meeting rooms, ensuring they are set up with necessary materials and refreshments.
- Handle incoming and outgoing mail, packages, and courier services.
- Assist with filing, photocopying, scanning, and other administrative tasks as required.
Document Management:
- Receive, sort, and distribute daily mail and deliveries.
- Prepare and send out correspondence, documents, and packages as needed.
Visitor Coordination:
- Maintain a visitor log and issue visitor badges as necessary.
- Coordinate with building security to ensure proper access for visitors.
- Coordinate with facilities management for any maintenance or repair issues.
Qualifications:
- Education:
- High school diploma or equivalent required; additional education or certification in office administration is a plus.
Experience:
- Previous experience in customer service, preferably in a professional services environment.
Skills:
- Excellent interpersonal and communication skills.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
- Ability to handle multiple tasks efficiently and manage time effectively.

- Ability to maintain confidentiality and handle sensitive information discreetly.

Schedule:
- Monday-Friday 10am-7pm
- Occasional Weekends
- In Person
