JOB SUMMARY

The GME Institutional Residency Supervisor will oversee and administer the work of the Residency Program team. The GME Institutional Residency Supervisor will audit programs for accuracy of data, including demographics for all levels of trainees. Partners with the Program Leadership providing assistance over the operational and financial management of the program. Assures all Residency and Fellowship Programs remain in compliance with requirements set by Cook County Health (CCH) and by all organizations and agencies involved in the process of determining accreditation of post graduate medical education programs, i.e., American College on Graduate Medicine Education (ACGME), Commission on Dental Accreditation (CODA), etc. Participates in program planning, project development and implementation of databases or other web base applications to improve operational efficiency.

General Administrative Responsibilities

Collective Bargaining


• Review applicable Collective Bargaining Agreements and consult with Labor Relations to generate management proposals 


• Participate in collective bargaining negotiations, caucus discussions and working meetings

Discipline


• Document, recommend and effectuate discipline at all levels 


• Work closely with labor relations and/or labor counsel to effectuate and enforce applicable Collective Bargaining Agreements 


• Initiate, authorize and complete disciplinary action pursuant to CCH system rules, policies, procedures and provision of applicable collective bargaining agreements

Supervision


• Direct and effectuate CCH management policies and practices 


• Access and proficiently navigate CCH records system to obtain and review information necessary to execute provisions of applicable collective bargaining agreements

Management


• Contribute to the management of CCH staff and CCH' systemic development and success 


• Discuss and develop CCH system policies and procedures 


• Consistently use independent judgment to identify operational staffing issues and needs and perform the following functions as necessary; hire, transfer, suspend, layoff, recall, promote, discharge, assign, direct or discipline employees pursuant to applicable Collective Bargaining Agreements 


• Work with Labor Relations to discern past practice when necessary

Typical Duties


• Supervises and trains Residency Program Coordinators. Monitors productivity and staff ensuring current processes and expectations are defined and clear.


• Oversees the intake process and exiting process for all new House Staff which includes the processing of related licensure, visa processing, and creation of appropriate personnel records.


• Manages the accuracy of trainee schedules using the Residency Management software (New Innovations) and works with Residency Program Coordinators to update.


• Verifies block schedules and time at the respective institution.


• Assures that evaluations in New Innovations are complete and appropriate for the programs they work with.


• Runs reports and reviews to assure data accuracy of all demographics entered into the Intern and Resident Information System (IRIS) related fields.


• Oversees the tracking of duty hours using New Innovations and collects reports regarding this to the Graduate Medical Education Committee (GMEC) on a regular basis or as requested.


• Prepares required documents for regulating or accrediting agencies for the GME office and programs.


• Co-plans and prepares documentation and training for the Residency Program Coordinator meeting.


• Attends and participates in staff meetings, GMEC meetings and subcommittees as assigned.


• Performs other duties as assigned.

Minimum Qualifications

  • Bachelor's degree from an accredited college or university
  • Two (2) years administrative experience working in an ACGME accredited Residency Program managing trainee records
  • Two (2) years of Graduate Medical Education (GME) database experience, i.e., Electronic Residency Application Services, New Innovations, or other web-based applications for process improvement
  • One (1) year of experience in one or more of the following areas: 

    compliance with regulations and policies, 

    handling residency related matters, reviewing information, conducting analysis, and preparing related reports

  • Proficient using Microsoft Office 

Preferred Qualifications

  • Master's degree from an accredited college or university
  • Prior experience in a healthcare environment
  • Prior supervisory experience
  • Proficient using New Innovations and Electronic Residency Application Services software
  • Thorough knowledge of Graduate Medical Education administrative practices
  • TAGME Certification

  • Knowledge of ACGME institutional requirements of training program(s).
  • Excellent verbal and written communication skills necessary to communicate with all levels of staff and a patient population composed of diverse cultures and age groups
  • Demonstrate good phone and email etiquette skills with strong response times

  • Demonstrate analytical and organizational, problem-solving, critical thinking, time management and conflict resolution skills
  • Strong mathematical and statistical skills for generating reports
  • Demonstrate attention to detail, accuracy and precision
  • Ability to keep accurate records and databases
  • Ability to prioritize, plan, and organize projects and tasks
  • Ability to adhere to department policies and standards utilizing best practices

Physical and Environmental Demands 

This position is functioning within a healthcare environment. The incumbent is responsible for adherence to all hospital and department specific safety requirements. This includes but is not limited to the following policies and procedures: complying with Personal Protective Equipment requirements, hand washing and sanitizing practices, complying with department specific engineering and work practice controls and any other work area safety precautions as specified by hospital wide policy and departmental procedures.
