We are seeking a detail-oriented and organized Administration Assistant to join our dynamic office team. This role offers an excellent opportunity for individuals with strong clerical and office management skills to contribute to the smooth operation of our organization. The ideal candidate will possess excellent communication abilities, proficiency in various office software, and a customer-focused attitude. Bilingual skills are a plus, as well as experience in medical or dental reception, bookkeeping, or personal assistant roles. This position provides a vital support function within our administrative team, ensuring efficient workflow and exceptional service delivery.

Duties

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize Microsoft Office Suite and Google Workspace for report generation, correspondence, and scheduling
  • Assist with calendar management and appointment scheduling for staff and clients
  • Handle customer support inquiries via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
  • Support office management tasks such as supply ordering, mail distribution, and general administrative support
  • Maintain organized files both electronically and physically for easy retrieval
  • Perform bookkeeping tasks using QuickBooks or similar accounting software as needed
  • Support medical or dental reception duties if applicable, including patient check-in/out and insurance verification
  • Contribute to overall office efficiency through effective time management and organizational skills

Requirements

  • Proven experience in office administration, clerical work, or related roles such as medical or dental receptionist or personal assistant
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer literacy with experience in data entry, proofreading, filing, and document management
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Exceptional communication skills with proper phone etiquette; bilingual abilities are a plus
  • Experience with multi-line phone systems and customer service environments
  • Knowledge of QuickBooks or bookkeeping experience is desirable
  • Ability to handle confidential information discreetly and professionally
  • Strong time management skills with the ability to multitask efficiently in a fast-paced environment
  • Previous office management experience is preferred but not required
