Key ResponsibilitiesExecutive Administrative Support
  • Manage the President's calendar, schedule meetings, and handle daily communications.
  • Monitor and respond to the GFE Roofing executive email inbox on behalf of leadership.
  • Maintain Salesforce CRM records with accurate status updates.
  • Prepare spreadsheets, budgets, and insurance-related documentation.
  • Ensure all accounts payable are properly coded and paid promptly.
  • Keep vendor files up to date, including all required paperwork and signatures.
  • Forecast and coordinate insurance agent meetings; cold calling and outbound prospecting
  • Assist in researching, procuring, and maintaining relationships with insurance brokers, agents, realtors, and property management companies.
Inside Sales Support
  • Qualify inbound roofing leads, schedule roof inspections, and book in-person sales presentations.
  • Manage adjuster meeting schedule and prepare estimates and contracts.
  • Coordinate with the Supplement Agent, ensuring supplement and depreciation requests are submitted in a timely manner.
  • Maintain proactive communication with customers throughout the project lifecycle.
  • Prepare and track Estimate vs. Actual reports for all projects and present to management
  • Master insurance processes and terminology to provide expert-level support to sales and customers.
Marketing Coordination
  • Collaborate with the President and Marketing Team to maintain a consistent and professional social media presence.
  • Ensure monthly customer newsletters are prepared and distributed.
  • Coordinate video production schedules with the Marketing Team.
Decision-Making Support
  • Partner with the Repairs Manager on all repair projects, including qualifying, scheduling inspections, developing the scope of work, determining pricing, delivering estimates, and ensuring payment collection.
Financial & Reporting Support
  • Work directly with in-house accountant to ensure all expenses are properly itemized.
  • Prepare and present accurate month-end financial reports to President and Partners.

Tools & Systems
  • Salesforce (CRM)
  • QuickBooks Online (QBO) - Intuit
  • Microsoft Office Suite / Google Workspace

Minimum Requirements

  • High School or equivalent
  • Higher Education in Business Administration or related field
  • Ability to multi-task in a fast paced environment
  • Self directed with minimal supervision
  • Previous experience as Executive Assistant or similar
  • Knowledge of the roofing industry a plus
