Are you passionate about addressing homelessness in New York City?  Project Hospitality, the largest not-for-profit on Staten Island, is seeking a dynamic Office Manager to join Hospitality House, our Department of Homeless Service Family shelter.  In this critical role, you'll be a key administrative leader who aids in the smooth and efficient daily operations of the family shelter.  This role supports shelter staff, manages office systems, coordinates administrative functions and helps maintain compliance with agency policies and funder requirements.  You'll become a valuable part of the innovative and welcoming environment we seek to provide for the families we serve.  This role offers the chance to leave a lasting impact on the lives of individuals by helping them find stability, dignity and hope when they need it most.

What we'll expect you to do:

Manage tasks, client intakes, phone coverage and mail distributionMaintain inventory and ordering of office and program suppliesAssist in budget tracking and processing of invoicesMaintain confidential client records and staff files in accordance with regulatory standardsSupport staff scheduling and internal communicationsAssist in preparing reports and documentation for audits, funders and leadershipProvide administrative support for meetings, trainings and events Serve as liaison with vendors, contractors, and external agencies as neededSupport onboarding of new staff with office setup, technology coordination and access credentialsPromote a welcoming, trauma-informed and culturally responsive environment for families and staff

Qualifications

The credentials and experience we require:

High School diploma or GED required; Associate's or Bachelor's degree preferredMinimum 2–3 years of office management, administrative support or related experience (preferably in a nonprofit or social services setting)Strong organizational, communication, and multitasking skillsProficiency in Microsoft Office Suite and Google Workspace; experience with database systems is a plusDriver's License requiredAbility to maintain confidentiality and professional boundariesComfortable working in a diverse, team-oriented and crisis-responsive environmentBilingual skills are a plusMust have the ability to establish workload priorities and balance diverse projectsMust have exceptional oral and written communication skills pertaining to individuals and groups regarding complex and sensitive issues and/or regulations
