JOB DESCRIPTION SUMMARY
The Office Manager is responsible for coordinating all office activities. The Office Manager functions as the branch's Human Resources Designee and is the initial point-of-contact pertaining to employee relations. The Office Manager performs payroll function and assists in the supervision of Clinical Care Coordinators.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
Supervises the day-to-day functions of the Clinical Care Coordinator(s) to ensure the maintenance of clinical records in accordance with regulations of Medicare and the Policy and Procedure Manual
Communicates effectively with patients, families and staff
Provides IT support to include office equipment setup and trouble-shooting, coordinating with 3rd party vendors and office asset management (laptops, devices, phones, etc).
Manages incoming, outgoing and interoffice mail
Performs data entry in EMR and HRIS systems
Prescreens and schedules interviews for hiring managers
Coordinates prehire process to include background checks & drug screens with 3rd party vendors
Performs new-hire general orientation
Tracks and maintains employee renewable requirements
Address HR, benefits and payroll questions/concerns
Assists in patient and HR chart audits
Maintains accurate employee database
Processes bi-weekly payroll & hand checks as needed
Provides branch level payroll & HR support
Performs administrative duties to support Billing & Claims
Participates and facilitates inservices as needed
Performs other necessary functions/duties as assigned by
the Executive Director and/or Human Resources Director
Participates in and assists with community activities, i.e., health fairs, conventions, community education programs, etc. as assigned by the Executive Director, Clinical Director/Director of Patient Care Services and/or Human Resources Director.
Travel up to 5%
POSITION QUALIFICATIONS
High School graduate; college degree in business related field preferred
3 years healthcare administrative experience; hospice experience preferred; previous experience in a supervisory role highly preferred
Minimum of 1-year HR experience is highly preferred
HCHB EMR experience highly preferred, Hospice or Home Care experience strongly preferred
Basic understanding of Fair Labor Standards Act
Working knowledge of MS Office Applications and Google Drive applications
Ability to establish and maintain effective working relationships
Ability to critically think and problem-solve
Ability to work under pressure and multi-task while meeting deadlines
Effective social interaction, communication and organizational skills
Personal car for travel and valid driver's license
Carry personal auto liability insurance coverage
