Astrion has an exciting opportunity for an entry-level Project Administrator supporting our customer in Rockville, Maryland. The project administrator will work closely with the Program Management Team (PMT) assisting with project monitoring, data gathering, coordinating on and offboarding and communicating with the team and Customers on behalf of the PMT.

REQUIRED QUALIFICATIONS / SKILLS 

  • Education: High School Degree
  • Years of Experience: 2-3 Years experience in the areas listed below 
  • Strong analytical/critical thinking and creative problem-solving skills to quickly identify and help address project challenges
  • Strong communication skills to facilitate meetings and communicate project management direction
  • Strong interpersonal skills to interact with customers, senior level personnel, and team members
  • Strong organizational skills to prioritize work and balance complex projects to facilitate tight project deadlines
  • Ability to work independently and as part of a team
  • Ability to learn new concepts, tasks, and project related tools quickly and easily
  • Ability to accept constructive feedback and implement changes immediately
  • Ability to adapt to and function in a highly demanding and quickly shifting/evolving customer environment
  • An inquisitive and logical mind able to anticipate potential issues or areas of concern
  • High levels of attention to detail and accuracy
  • Ability to take initiative reflective of a well-developed habit of proactivity
  • High level understanding of technologies, cybersecurity, and National Institute of Standards and Technology (NIST) publications to help understand contract projects and effectively communicate statuses

RESPONSIBILITIES

Functionally, the candidate will be responsible for assisting the Program Management Team (PMT) and Customer with the following activities:

  • Scheduling multiple meetings with Customers and internal staff members (i.e. project kick off and document review meetings) ensuring all required parties are included
  • Ensuring Project Manager calendars are kept up to date and matching with corporate and customer meetings
  • Interface with Customer and PMT frequently to determine evolving needs and priorities
  • Creating in depth agendas to distribute before meetings
  • Taking, compiling, distribution of meeting minutes and action items
  • Support Computer Security Office (CSO) monthly meetings and report pulling and distribution to Offices
  • Tracking and status reporting of Federal Information Security Modernization Act (FISMA) and Assessor System Statement of Risk (ASSR) related activities and monitoring due dates – sending notifications for activities expiring
  • Gathering of cybersecurity related statistical data
  • Posting of documentation and data to SharePoint
  • Develop and monitor project schedules in Microsoft Project
  • Develop and monitor quarterly scan planning spreadsheet
  • Update activities spreadsheet
  • Inputting all project schedule data into the contract Deliverables Report (DR) (SharePoint list)
  • Collecting percent completes on a weekly basis using Microsoft Project, notifying the PMT of any projects that are behind schedule, and posting the consolidated schedule roll up to SharePoint weekly
  • Reviewing NRC Risk Dashboard to ensure all project dates are met
  • Updating the Customer on project status and issues/schedule impacts as needed
  • Assist customers with extension requests as needed
  • Gathering Office of the Chief Information Officer (OCIO) project status for distribution on weekly basis 
  • Assisting with Onboarding and Offboarding activities as needed
  • Coordinating drug testing appointments for contract staff as needed
  • Other duties as assigned
