The RoleThe Andersen Des Moines Office is seeking a full-time Office Assistant to manage front desk operations and provide administration support in a mid-size office. This role is responsible for office administration, supply management, tax return filing administration, file maintenance, and administrative support for tax professionals.
The Office Assistant reports directly to the Director of Operations and serves as the primary point of contact for a variety of support functions.
Primary Responsibilities:
- Maintains the front desk, including client and visitor needs, the phone line, and deliveries;
- Tracks and monitors orders and replenishes office supplies;
- Processes and organizes client paperwork, including daily runs to the post office;
- Manages office space needs for employees (access badges, desk drawer keys, etc.);
- Creates and sends office announcements;
- Coordinates busy season meals/snacks for the staff and must be able to follow-up and confirm orders, ensuring accuracy of specified orders and seamless delivery;
- Proactively assists and ensures the completion of administrative support requested by staff on a day-to-day basis;
- Coordinates with the Client Team Support Group on management support.
- 3+ years of receptionist and administrative experience supporting multiple executives;
- Proficiency in Microsoft Word, Excel, Outlook and PowerPoint;
- Excellent written and verbal communication skills;
- Ability to interact and collaborate with all levels of personnel;
- Ability to work independently with minimal supervision;
- Exceptional organizational and time management skills, meticulous attention to detail, and very strong multi‐tasking abilities;
- Proactive, go‐getter, takes initiative and demonstrates team building skills;
- Demonstrates a professional, polished, and positive demeanor that reflects Andersen's brand;
- Ability to manage multiple projects and deadlines simultaneously, especially during busy season when there is a high demand for support;
- Ability to lift 45 pounds regularly;
- Required to work in the office 5 days each week.
