Job Overview
We are seeking a highly organized and proactive Executive Assistant to support the CEO of our organization. This role requires a professional with exceptional administrative skills, attention to detail, and the ability to manage multiple priorities efficiently. The Executive Assistant will serve as a key point of contact, handling a variety of administrative and project coordination tasks to ensure smooth daily operations and effective communication across departments.
Duties
- Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
- Prepare and proofread correspondence, reports, presentations, and other documents with accuracy and professionalism.
- Coordinate complex projects, including event planning and logistics for company functions or external engagements.
- Handle phone calls with excellent phone etiquette, screen inquiries, and direct calls appropriately using multi-line phone systems.
- Perform data entry, filing, and record keeping using Office management tools such as Microsoft Office Suite and QuickBooks.
- Assist with bookkeeping tasks, including invoicing, expense tracking, and basic financial record management.
- Support personal assistance needs for the CEO as required, including transcription and document signing via DocuSign.
- Provide exceptional customer service in front desk or reception duties when needed.
- Organize files, manage office supplies inventory, and oversee clerical tasks to ensure an efficient office environment.
- Collaborate with teams on project coordination efforts to meet deadlines and organizational goals.
Skills
- Proven experience in executive administrative support or personal assistant roles with strong office management background.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and familiarity with Microsoft Outlook Calendar.
- Experience with QuickBooks for bookkeeping and data entry tasks.
- Excellent organizational skills with the ability to prioritize multiple tasks effectively.
- Strong typing skills with high accuracy; capable of transcription and proofreading documents.
- Exceptional communication skills demonstrating professional phone etiquette and customer service excellence.
- Ability to handle confidential information discreetly while maintaining professionalism at all times.
- Knowledge of event planning logistics and project coordination processes.
- Familiarity with multi-line phone systems, office software tools like DocuSign, and basic office equipment operation. This position offers an engaging environment where organizational excellence is valued highly.
