Overview:

The Payroll Tax Analyst will support multi-entity payroll tax operations across nearly all 50 states. The primary focus of this role is to create, update, and manage online usernames and passwords for payroll tax accounts associated with multiple company entities. The ideal candidate will bring proven experience in payroll tax account management, strong organizational skills, and the ability to work independently in a fast-paced environment.

This position requires a resourceful and proactive professional capable of resolving access challenges, managing multiple priorities, and ensuring compliance with all state and local tax regulations.

Key Responsibilities

Credential Management

  • Create, update, and maintain usernames and passwords for payroll tax accounts across state and local agencies.
  • Recover and manage access for accounts previously set up by former team members.
  • Maintain a secure and organized record of all login credentials and related documentation.

Account Closures and Filings

  • Assist in closing state and local tax accounts for entities where employees have transitioned to other companies.
  • File zero returns where required to ensure proper account closure and compliance.

New Account Setup

  • Identify jurisdictions requiring new payroll tax accounts and manage the application process accordingly.

Compliance and Documentation

  • Ensure all activities comply with applicable state and local tax regulations.
  • Document processes, communications, and account changes accurately.
  • Collaborate with internal payroll and tax teams to ensure accuracy, alignment, and timely completion of tasks.

Qualifications

  • Proven experience in multi-state payroll tax operations and account management.
  • Strong understanding of state and local tax agency systems and compliance procedures.
  • Excellent organizational skills, attention to detail, and time management abilities.
  • Ability to work independently with minimal supervision in a remote environment.
  • Demonstrated experience in credential recovery and navigating complex access challenges.
  • Strong written and verbal communication skills with the ability to collaborate across teams.

Preferred Skills

  • Experience working within multi-entity payroll structures.
  • Familiarity with payroll or tax software platforms such as ADP, UKG, or Workday.
  • Knowledge of compliance requirements for account closures and zero filings.
  • Prior experience in insurance or financial services environments preferred.
